Core Responsibilities :-
- Calendar Management: Plan and manage the Director's agenda, scheduling meetings across time zones and resolving scheduling conflicts proactively.
- Communications & Liaison: Screen calls, prioritize incoming emails, and draft correspondence on the Director’s behalf. Act as the key point of contact for internal teams and external stakeholders.
- Travel Coordination: Arrange global or domestic travel, including flights, hotels, ground transportation, and detailed itineraries.
- Meeting Preparation: Prepare agendas, presentations (using PowerPoint or Google Slides), and background materials before meetings. Take, transcribe, and distribute meeting minutes.
- Document & Data Management: Produce and edit reports, track deadlines, and maintain organized digital and physical filing systems.
- Expense & Office Admin: Process corporate credit card statements and expense reports.
- Special Projects: Conduct research and manage ad-hoc administrative and operational projects as assigned by the Director.
Qualifications & Requirements
- Experience: Typically 3–7 years of experience providing C-level or executive-level administrative support.
- Education: Bachelor’s degree in Business Administration, Communications, or a related field (or equivalent professional experience).
- Technical Proficiency: Advanced knowledge of Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and virtual meeting platforms (Zoom, Teams). Experience with Travel & Expense software (e.g., Concur) is a plus.
