Job Summary
The Registration Assistant is responsible for welcoming families, registering new clients, maintaining accurate patient records, coordinating appointments, handling enquiries, and ensuring a smooth registration process. This role serves as the first point of contact for parents and plays a key role in providing an excellent customer experience.
Key ResponsibilitiesPatient Registration
- Register new children and families in the clinic management system.
- Collect and verify patient information and required documents.
- Maintain accurate and confidential patient records.
- Update patient details whenever necessary.
Front Desk Operations
- Welcome parents and visitors professionally.
- Answer phone calls, emails, and WhatsApp enquiries.
- Schedule, reschedule, and confirm appointments.
- Guide parents through the registration and assessment process.
Documentation
- Collect consent forms and registration documents.
- Ensure all records are complete before assessment or therapy begins.
- Scan, upload, and organize patient documents.
Customer Service
- Explain therapy registration procedures and packages.
- Provide information about available services.
- Handle customer queries courteously and professionally.
- Coordinate with therapists regarding appointments and schedules.
Billing Support
- Assist in preparing invoices and receipts.
- Record payments accurately.
- Coordinate with the accounts department regarding pending payments.
Administrative Support
- Maintain daily registration reports.
- Monitor appointment schedules.
- Coordinate with the Centre Coordinator regarding daily operations.
- Support administrative tasks assigned by management.
Required Qualifications
- Bachelor's degree in any discipline.
- Freshers may apply.
- Experience in healthcare, hospitals, clinics, or customer service is preferred.
Required Skills
- Excellent communication skills in English and the local language.
- Good interpersonal and customer service skills.
- Basic computer proficiency (MS Office, Google Workspace).
- Ability to learn clinic management software.
- Strong organizational and multitasking skills.
- Professional appearance and positive attitude.
- Ability to work under pressure in a fast-paced environment.

Working Hours
- Monday to Saturday
- 9:30 AM – 7:00 PM
