The Outpatient (OP) Assistant is responsible for ensuring the smooth functioning of the Outpatient Department (OPD) by assisting consultants, coordinating patient flow, maintaining records, supporting nursing and administrative activities, and providing courteous service to patients. The OP Assistant plays a vital role in ensuring efficient, safe, and patient-centered outpatient services.
1. GENERAL RESPONSIBILITIES
- Report to duty on time in complete uniform with hospital ID card.
- Maintain professional behavior, discipline, and punctuality.
- Ensure the OPD is clean, organized, and ready before consultation hours.
- Assist consultants, nurses, and administrative staff during OPD services.
- Maintain patient privacy and confidentiality.
- Follow hospital policies, infection control protocols, and patient safety guidelines.
- Provide courteous and respectful service to all patients and attendants.
2. PATIENT REGISTRATION & FLOW MANAGEMENT
- Welcome patients and guide them through the registration process.
- Verify patient details and assist in preparing OP records.
- Maintain the OP token system and ensure patients are called according to token number.
- Guide patients to the appropriate consultation rooms.
- Prioritize emergency cases after informing the consultant or duty doctor.
- Manage patient queues efficiently to reduce waiting time.
- Assist elderly, disabled, pregnant, and critically ill patients.
3. CONSULTANT ASSISTANCE
- Prepare the consultant's room before the OP session.
- Ensure consultation room cleanliness and readiness.
- Arrange patient case sheets before consultation.
- Assist consultants during patient examination when required.
- Prepare examination couches and necessary instruments.
- Arrange investigation request forms.
- Coordinate follow-up appointments as advised by the consultant.
- Ensure uninterrupted patient flow during OP hours.
4. CLINICAL SUPPORT RESPONSIBILITIES
- Measure and record:
- Temperature
- Pulse
- Respiratory Rate
- Blood Pressure
- Oxygen Saturation (SpO₂)
- Height
- Weight
- Body Mass Index (BMI)
- Assist nurses during minor procedures.
- Prepare patients for ECG, dressing, injections, nebulization, and other procedures.
- Assist in sample collection when assigned.
- Ensure all equipment is cleaned after use.
5. APPOINTMENT & SCHEDULING
- Schedule follow-up appointments.
- Coordinate consultant appointment timings.
- Inform patients regarding consultant availability.
- Update appointment registers and electronic systems (if applicable).
- Inform patients promptly regarding any change in consultation schedule.
6. DOCUMENTATION RESPONSIBILITIES
Maintain and update:
- OP Registration Register
- OP Consultation Register
- Daily Patient Census
- Appointment Register
- Investigation Request Register
- Referral Register
- Follow-up Register
- Daily OP Statistics
- Patient Feedback Register
- Incident Register (if applicable)
Ensure all documentation is complete, accurate, and submitted to the department head as required.
7. LABORATORY & DIAGNOSTIC COORDINATION
- Guide patients to Laboratory, Radiology, ECG, Pharmacy, and Billing departments.
- Coordinate investigation requests with relevant departments.
- Ensure reports are collected and delivered to the consultant promptly.
- Assist patients in understanding the investigation process.
- Coordinate referrals to specialty departments.
8. INFECTION PREVENTION & CONTROL
- Perform hand hygiene before and after patient contact.
- Use Personal Protective Equipment (PPE) when required.
- Clean examination tables and equipment after each patient when necessary.
- Segregate biomedical waste according to hospital protocols.
- Dispose of sharps only in designated containers (if involved in procedures).
- Report infection control concerns immediately.
- Ensure waiting areas remain clean and hygienic.
9. EQUIPMENT MANAGEMENT
Ensure proper functioning and availability of:
- BP Apparatus
- Thermometer
- Pulse Oximeter
- Weighing Machine
- Height Measuring Scale
- Glucometer (if applicable)
- Wheelchair
- Stretcher
- Nebulizer
- Examination Light
Report any malfunction immediately to the department head.
10. PATIENT SAFETY
- Verify patient identity before any procedure or investigation.
- Assist patients safely during movement within the hospital.
- Immediately report any patient deterioration or emergency.
- Ensure wheelchairs and stretchers are used safely.
- Prevent falls by assisting high-risk patients.
- Maintain a safe and clutter-free OPD environment.
11. COMMUNICATION RESPONSIBILITIES
- Communicate politely and professionally with patients and attendants.
- Inform consultants about patient arrivals and emergencies.
- Coordinate with:
- Reception
- Nursing Department
- Laboratory
- Radiology
- Pharmacy
- Billing
- Medical Records Department
- Explain OP procedures and direct patients appropriately.
- Maintain confidentiality while communicating patient information.

- Avoid personal mobile phone use during duty except for official purposes.
- Follow instructions from consultants, Nursing Incharge, and Hospital Management.
- Participate in departmental meetings and training programs.
14. REPORTING RESPONSIBILITIES
Immediately report the following to the OP Incharge or Hospital Administration:
- Medical emergencies
- Patient collapse or deterioration
- Equipment malfunction
- Patient complaints
- Consultant delays or absence
- Infection control breaches
- Fire or electrical hazards
- Shortage of forms, medicines, or supplies
- Any adverse or unusual incident
