Exchange Process Management
- Initial Assessment: Greeting customers interested in trade-ins and gathering all necessary vehicle history, including service records, insurance status, and ownership documents.
- Valuation Coordination: Working closely with evaluators or used-car managers to determine a fair market value for the customer's current vehicle.
- Negotiation: Presenting the exchange offer to the customer and finding a "bridge price" (the difference between the new car cost and the trade-in value) that satisfies both the client and the dealership.
2. Sales Support & Lead Conversion
- Sales Integration: Collaborating with the New Car Sales team to convert inquiries into bookings by highlighting the ease of the exchange process.
- Database Management: Maintaining a "lost case" or "pending exchange" tracker to follow up with customers who were undecided on their trade-in offers.
- Promotions: Implementing and explaining exchange bonus schemes or loyalty programs offered by the manufacturer to incentivize customers.
3. Documentation & Compliance
- Transfer Paperwork: Ensuring all legal documents for the used vehicle (RC Transfer, Form 29/30, NOC) are correctly signed and collected to mitigate future liability for the dealership.
- Financial Reconciliation: Verifying that the exchange value is correctly adjusted against the down payment or loan amount for the new vehicle.
- Inventory Logging: Ensuring the exchanged vehicle is accurately entered into the pre-owned car inventory system with all relevant details.
4. Market Analysis & Reporting
- Market Trends: Staying updated on the resale value of various makes and models to provide realistic quotes.
- Performance Tracking: Generating weekly or monthly reports on exchange penetration (the percentage of new car sales that involved a trade-in) and the profitability of those exchanges.
