Job Description – Back Office Executive | Purchase Department
About the Role
We are looking for a smart, detail-oriented, and analytical Back Office Executive to join our Purchase Department. The candidate will be responsible for maintaining purchase-related records, handling data and documentation, coordinating with vendors and internal teams, and supporting the purchase team in day-to-day operations.
The ideal candidate should be good with numbers and calculations, highly proficient in MS Excel, quick at understanding processes, and capable of handling multiple tasks accurately.
Key Responsibilities
- Maintain and update purchase-related data, records, and documentation.
- Prepare and maintain purchase orders, invoices, quotations, and other purchase documents.
- Enter, verify, and reconcile purchase data accurately in Excel and internal systems.
- Perform calculations related to quantity, rates, discounts, taxes, and purchase values.
- Maintain and update Excel sheets, MIS reports, and purchase trackers.
- Coordinate with vendors for quotations, order details, delivery status, invoices, and other requirements.
- Coordinate with the Accounts, Inventory, Production, and Purchase teams for smooth processing of purchase transactions.
- Cross-check purchase entries, rates, quantities, and supporting documents to identify discrepancies.
- Track pending orders, deliveries, and vendor-related updates.
- Assist the Purchase team in preparing daily/weekly/monthly reports.
- Maintain proper filing and documentation of purchase records.
- Ensure timely updating of all purchase-related information.
- Handle confidential and sensitive business information responsibly.
- Support the Purchase Head/Manager in day-to-day administrative and operational activities.
Required Skills
- Strong knowledge of MS Excel – VLOOKUP/XLOOKUP, Pivot Tables, SUMIF/SUMIFS, filters, sorting, basic formulas, etc.
- Excellent numerical and calculation skills.
- Good understanding of data entry, reconciliation, and record management.
- Strong attention to detail and accuracy.
- Quick learner and smart enough to understand business processes and requirements.
- Good analytical and problem-solving skills.
- Ability to identify errors and discrepancies in data.
- Good communication and coordination skills.
- Ability to manage multiple tasks and meet deadlines.
- Proactive attitude with a willingness to take ownership of responsibilities.
Experience & Qualification
- Qualification: Graduate in any relevant discipline.
- Experience: 1–3 years of experience in Back Office, Purchase, MIS, Accounts, Operations, or similar roles.
- Experience in the Jewellery/Manufacturing/Retail industry will be an added advantage.
