Job Title: Zonal Head – Administration
Job Summary
The Zonal Head – Administration is responsible for overseeing and managing administrative operations across multiple locations within the assigned zone. The role ensures smooth functioning of facilities, infrastructure, vendor management, compliance, security, transport, housekeeping, and overall administrative excellence. The individual will work closely with school/unit heads and senior management to maintain operational efficiency and support organizational growth.
Key Responsibilities
Administrative Operations
- Lead and manage administration activities across all locations within the assigned zone.
- Ensure standardization of administrative processes and policies.
- Monitor daily administrative operations and resolve issues promptly.
- Conduct regular audits and inspections of facilities.
Facility & Infrastructure Management
- Oversee maintenance of buildings, classrooms, offices, and common areas.
- Ensure proper functioning of electrical, plumbing, HVAC, and other infrastructure.
- Plan and execute infrastructure upgrades and renovation projects.
- Maintain high standards of cleanliness and safety.
Vendor Management
- Identify, negotiate, and manage vendors and service providers.
- Monitor vendor performance and service quality.
- Ensure timely renewal of contracts and agreements.
- Optimize costs while maintaining service standards.
Security & Safety
- Ensure implementation of security protocols across all locations.
- Coordinate with security agencies and local authorities when required.
- Monitor CCTV, access control systems, and emergency preparedness plans.
- Ensure compliance with safety regulations and fire safety norms.
Transport Management
- Oversee transportation operations and fleet management.
- Ensure vehicle compliance, maintenance, and safety standards.
- Monitor transportation vendors and route optimization.
Compliance & Documentation
- Ensure adherence to statutory, legal, and regulatory requirements.
- Maintain administrative records, licenses, and approvals.
- Coordinate with government departments and regulatory bodies as required.
Budget & Cost Control
- Prepare and manage zonal administration budgets.
- Monitor expenses and identify cost-saving opportunities.
- Ensure efficient utilization of resources.
Team Management
- Lead, mentor, and develop zonal administration teams.
- Conduct performance reviews and provide regular feedback.
- Drive employee engagement and operational excellence.
Stakeholder Management
- Collaborate with senior leadership, principals, and department heads.
- Address administrative concerns and provide effective solutions.
- Support expansion projects and new facility setups.

Qualifications
- Graduate/Postgraduate in Administration, Management, Operations, or related field.
- MBA/PGDM preferred.
Experience
- 7-10 years of experience in Administration, Facilities, Operations, or Infrastructure Management.
- Experience managing multiple locations, schools, campuses, or corporate offices preferred.
- Proven experience in leading large administrative teams.
Reporting To
- Director – Administration / Chief Operating Officer (COO) / Management.
Pay: ₹60,000.00 - ₹90,000.00 per month
