Job Summary
The Project Manager – DPR, Budget & Project Documentation will be responsible for planning, developing, preparing, reviewing, and submitting Detailed Project Reports (DPRs), project proposals, budgets, financial estimates, and other project-related documentation.
The role requires strong project planning, financial understanding, research, documentation, coordination, and analytical skills. The Project Manager will coordinate with internal teams, management, clients, government departments, NGOs, funding agencies, and other stakeholders to ensure that project proposals and reports are accurate, complete, professionally prepared, and submitted within the required timelines.
Key ResponsibilitiesDetailed Project Report (DPR) Preparation
- Prepare comprehensive Detailed Project Reports (DPRs) for new and ongoing projects.
- Conduct research and collect relevant information required for project development.
- Develop project objectives, scope, activities, implementation plans, timelines, and expected outcomes.
- Prepare project methodology, operational plans, resource requirements, and implementation frameworks.
- Develop project-specific financial estimates and cost structures.
- Ensure DPRs are prepared according to the requirements and guidelines of the concerned organization, department, client, or funding agency.
- Review and revise DPRs based on management or stakeholder feedback.
- Maintain standardized formats and templates for project documentation.
Project Proposal Preparation & Submission
- Prepare project proposals, concept notes, funding proposals, expressions of interest, and related documents.
- Coordinate with relevant departments to collect technical, operational, financial, and administrative information.
- Review documents for accuracy, completeness, consistency, and compliance before submission.
- Coordinate timely submission of proposals and DPRs to concerned authorities, organizations, clients, or funding agencies.
- Maintain records of submitted proposals and monitor their status.
- Follow up with concerned stakeholders regarding clarifications, revisions, approvals, and further requirements.
Budget Preparation & Financial Planning
- Prepare detailed project budgets based on project scope and requirements.
- Develop cost estimates for manpower, equipment, materials, logistics, operations, infrastructure, training, administration, and other project components.
- Prepare budget breakdowns and financial projections.
- Coordinate with the finance/accounts team to validate costs and financial assumptions.
- Monitor project budgets and identify potential cost overruns or deviations.
- Prepare revised budgets whenever project scope or requirements change.
- Ensure that budgets are realistic, properly documented, and aligned with project objectives.
Project Planning & Management
- Develop project implementation plans, timelines, milestones, and deliverables.
- Coordinate with project teams to ensure timely execution of planned activities.
- Monitor project progress against approved plans and timelines.
- Identify project risks, operational challenges, and resource requirements.
- Develop appropriate mitigation and corrective action plans.
- Conduct project review meetings and track action points.
- Ensure timely completion of project milestones and deliverables.
Research & Data Analysis
- Conduct research related to project requirements, target beneficiaries, market conditions, sector requirements, and implementation areas.
- Analyze relevant data and information to support project planning and proposal development.
- Prepare project feasibility assessments and supporting analysis where required.
- Use data and research findings to strengthen project proposals and DPRs.
Documentation & Reporting
- Prepare project progress reports, status reports, review reports, and management updates.
- Maintain project files, approvals, correspondence, budgets, proposals, and supporting documentation.
- Prepare presentations for management, clients, government authorities, funding agencies, and other stakeholders.
- Ensure proper version control and record management of project documents.
- Maintain a database of submitted, approved, pending, and rejected proposals.
Stakeholder Coordination
- Coordinate with management, project teams, finance/accounts, HR, operations, field teams, vendors, clients, NGOs, government departments, and other stakeholders.
- Attend meetings with stakeholders and record key decisions and action points.
- Communicate project requirements, deadlines, and responsibilities to concerned teams.
- Respond to queries and provide additional information or documentation as required.
- Maintain professional relationships with key project stakeholders.
Required Qualifications
- Bachelor's or Master's degree in Project Management, Business Administration, Management, Finance, Economics, Social Sciences, Development Studies, or a related field.
- 3–5 years of experience in project management, DPR preparation, proposal development, budgeting, consulting, NGO projects, government projects, or a similar role is preferred.
- Experience in preparing project proposals and financial budgets will be an advantage.
