Position OverviewThe Front Office Executive serves as the first point of contact for visitors, clients, and employees, managing reception operations and providing administrative support to ensure smooth daily operations. This role requires excellent communication skills, professional demeanor, and the ability to handle multiple tasks efficiently in a fast-paced environment.
Key ResponsibilitiesReception and Visitor ManagementGreet and welcome visitors, clients, and guests in a professional and courteous manner
Manage visitor registration process, issue visitor badges, and maintain visitor logs
Direct visitors to appropriate personnel or meeting rooms
Ensure reception area is clean, organized, and professionally presented at all times
Monitor and manage access control systems
Communication ManagementAnswer, screen, and forward incoming phone calls professionally
Handle email inquiries and respond promptly to general information requests
Manage internal and external correspondence
Coordinate with various departments to facilitate communication flow
Maintain updated contact directories and distribution lists
Administrative SupportSchedule and coordinate meeting room bookings
Arrange catering and refreshments for meetings when required
Manage incoming and outgoing mail, couriers, and deliveries
Maintain office supplies inventory and place orders as needed
Process expense reports and maintain petty cash records
Assist with travel arrangements and accommodation bookings
Office ManagementSupport facility management with maintenance requests and vendor coordination
Monitor and report building access issues or security concerns
Coordinate with cleaning and maintenance staff
Assist in organizing company events and employee engagement activities
Maintain office equipment and arrange for repairs when necessary
Documentation and ReportingMaintain accurate records of visitors, calls, and correspondence
Prepare and distribute reports as required
Update and maintain employee contact information databases
File and archive documents systematically
Required QualificationsEducationHigh school diploma or equivalent required
Bachelor's degree in business administration or related field preferred
ExperienceMinimum 1-2 years of experience in front office, reception, or administrative role
Experience in corporate environment preferred
Customer service experience highly desirable
Skills and CompetenciesTechnical Skills:
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
Familiarity with office equipment (printers, scanners, phone systems)
Basic knowledge of visitor management systems
Typing speed of at least 40 words per minute

Dress Code RequirementsMandatory Professional Attire:
2 days per week: Traditional saree (professional draping style required)
3 days per week: Business suit (formal business attire)
All attire must be professional, well-maintained, and appropriate for a corporate front office environment. Specific dress code days will be communicated by management.
