1. Front Desk & Communication
- Client Interface: Greet visiting architects, builders, and government officials with a professional demeanor.
- Call Management: Filter and direct calls to the appropriate department (e.g., Structural, MEP, or Site Supervision).
- Inquiry Handling: Provide basic information regarding the firm’s services and redirect technical queries to the lead engineers.
2. Document & Project Coordination
- Drawing Management: Receive and log incoming architectural blueprints and distribute them to the design team.
- Dispatch Tracking: Maintain a "Dispatch Register" for outgoing structural drawings and MEP layouts sent to clients or sites.
- Courier Coordination: Manage the delivery of physical design sets, soil reports, and legal documents.
3. Administrative Support
- Quotation & Billing Support: Assist in drafting basic payment requests or tracking the status of pending consultancy fees.
- Meeting Scheduling: Coordinate the principal engineer’s calendar for site visits, client meetings, and department hearings.
- Data Entry: Maintain a digital database of active projects, client contact details, and project deadlines.
4. Office Operations
- Stationery & Plotter Supplies: Ensure the office is stocked with essential supplies, especially large-format paper and ink for printing technical drawings.
- Records Maintenance: Organize and archive old project files, structural calculations, and insurance documents for easy retrieval.
- Visitor Logs: Maintain a strict log of site contractors and vendors visiting the office.
Required Skills
- Language Proficiency: English, Hindi
- Technical Skills: Proficiency in Microsoft Excel & Word.
- Communication Skills: Ability to handle complaints diplomatically.
- Organizational Skills: Strong multitasking and time management.
- Leadership: Ability to manage staff effectively.
- Financial Awareness: Knowledge of rent collection and record-keeping.
