Job Summary
The Tender Executive is responsible for identifying, evaluating, preparing, and submitting bids for government infrastructure projects. The role involves managing the complete tendering process, coordinating with internal departments, ensuring compliance with government procurement requirements, and supporting business growth through successful bid participation in infrastructure, civil construction, utilities, transportation, and public sector projects.
Key Responsibilities
Tender Identification & Evaluation
- Monitor government procurement portals and tender websites for relevant infrastructure opportunities.
- Review Notice Inviting Tenders (NIT), RFPs, RFQs, and bid documents.
- Assess eligibility criteria, technical qualifications, financial requirements, and project scope.
- Prepare bid qualification summaries and management approval notes.
Bid Preparation & Submission
- Coordinate with engineering, estimation, finance, procurement, legal, and project teams to prepare bids.
- Compile technical, commercial, and statutory documents required for tender submissions.
- Prepare compliance matrices and ensure adherence to tender specifications.
- Submit bids through e-tendering portals within stipulated timelines.
Government Tender Compliance
- Ensure compliance with government procurement guidelines and tender conditions.
- Manage EMD (Earnest Money Deposit), bid security, performance guarantees, and related documentation.
- Coordinate preparation of affidavits, declarations, registrations, certifications, and statutory compliance documents.
- Maintain validity and renewal of company registrations and vendor approvals.
Costing & Commercial Coordination
- Support preparation of BOQ (Bill of Quantities) pricing and commercial proposals.
- Coordinate with estimation and finance teams for costing inputs.
- Review commercial terms, payment conditions, taxes, and contractual obligations.
- Assist in risk identification and bid strategy discussions.
E-Tendering & Portal Management
- Handle tender submissions on portals such as:
- Government e-Marketplace (GeM)
- Central Public Procurement Portal (CPPP)
- State Government Procurement Portals
- PSU and Infrastructure Authority Tender Portals
- Maintain digital signatures, portal registrations, and submission records.
Post-Tender Activities
- Respond to client clarifications and technical queries.
- Coordinate submission of additional documents during evaluation stages.
- Track bid status and communicate updates to management.
- Support contract award, LOI (Letter of Intent), and agreement execution processes.
Documentation & Reporting
- Maintain tender trackers and bid databases.
- Archive all tender documents and correspondence.
- Generate weekly and monthly reports on tender participation and success rates.
- Maintain records of awarded, lost, and ongoing bids.
Qualifications
Education
- Bachelor's Degree in Civil Engineering, Mechanical Engineering, Electrical Engineering, Construction Management, Commerce, Business Administration, or related discipline.
Experience
- 2–5 years of experience in government tendering, infrastructure projects, EPC, construction, utilities, or engineering sectors.
- Experience handling public sector and government procurement processes preferred.
Pay: ₹20,000.00 - ₹30,000.00 per month
