The Invoice Executive is responsible for preparing accurate invoices for customers, ensuring timely billing, coordinating with the production, stores, dispatch, and accounts departments, maintaining invoicing records, and ensuring compliance with company policies and statutory requirements.
Key Roles and Responsibilities
Invoice Preparation
- Prepare customer invoices based on purchase orders, delivery challans, and dispatch details.
- Verify product quantities, rates, taxes, and other billing information before generating invoices.
- Ensure invoices are issued accurately and on time.
Order Verification
- Cross-check customer purchase orders with production and dispatch documents.
- Verify completed jobs before invoicing.
- Ensure all supporting documents are available before invoice generation.
Coordination
- Coordinate with Production, Quality, Stores, Dispatch, Sales, and Accounts departments.
- Resolve discrepancies related to billing, pricing, quantities, or customer requirements.
- Follow up on pending documentation required for invoicing.
Documentation & Record Keeping
- Maintain invoice registers and customer billing records.
- File and archive invoices, delivery challans, e-way bills, transport documents, and supporting records.
- Prepare monthly invoice summaries and reports
Reporting
- Prepare daily, weekly, and monthly invoicing reports.
- Submit billing status reports to management.
- Monitor pending invoices and ensure timely completion.
Pay: ₹13,000.00 - ₹25,000.00 per month
