Job Summary
We are looking for a highly organized and proactive Secretary to the Managing Director to provide administrative, coordination, and executive support. The ideal candidate should possess excellent communication skills, strong attention to detail, and the ability to manage multiple responsibilities while maintaining confidentiality.
Key ResponsibilitiesExecutive & Administrative Support
- Manage the MD's calendar, appointments, meetings, and daily schedule.
- Coordinate and arrange internal and external meetings.
- Handle correspondence, emails, phone calls, and communication on behalf of the MD.
- Maintain records, files, and important business documents.
Travel & Meeting Coordination
- Arrange domestic travel, hotel bookings, and transportation.
- Prepare travel itineraries and manage travel-related documentation.
- Organize meeting agendas and supporting materials.
- Record minutes of meetings and track action items.
Recruitment & HR Coordination
- Coordinate with recruitment consultants and agencies.
- Screen resumes against job requirements and prepare shortlists.
- Schedule interviews and coordinate candidate communication.
- Assist in employee onboarding and induction activities.
- Maintain recruitment trackers and candidate databases.
Coordination & Follow-up
- Liaise with internal departments for timely completion of tasks assigned by the MD.
- Follow up on pending actions and ensure closure within timelines.
- Coordinate with external vendors, consultants, and stakeholders as required.
Confidentiality
- Handle confidential business and employee information with utmost discretion and professionalism.
Desired Candidate Profile Education
- Graduate in any discipline.
- Additional qualification in Administration, HR, or Business Management will be an advantage.
Experience
- 3–6 years of experience as:
- Secretary to Director / MD
- Executive Secretary
- Personal Assistant
- Administrative Coordinator
Skills Required
- Excellent verbal and written communication skills.
- Strong organizational and coordination abilities.
- Proficiency in MS Word, Excel, PowerPoint, and Outlook.
- Ability to prioritize tasks and manage multiple responsibilities.
- High level of confidentiality and professionalism.
Preferred
- Experience working in manufacturing, industrial, polymers, packaging, chemicals, or related industries.
- Immediate joiners or candidates with a notice period of up to 30 days.
Compensation & Benefits
