Job Summary
The Non-Clinical Administrator is responsible for overseeing all non-clinical operations of Calida Rehab to ensure the smooth, efficient, and compliant functioning of the hospital and rehabilitation centre. The role includes administration, human resources, facility management, statutory compliance, vendor management, security, housekeeping, patient support services, budgeting, procurement, and coordination between departments. The administrator works closely with the clinical team while ensuring that non-clinical functions support high-quality patient care.
Key Responsibilities
1. Hospital Administration
Manage the day-to-day non-clinical operations of the rehabilitation centre.
Ensure smooth coordination between all administrative and support departments.
Implement and monitor organizational policies and Standard Operating Procedures (SOPs).
Maintain operational efficiency and service quality.
Prepare daily, weekly, and monthly administrative reports.
2. Human Resource Coordination
Coordinate recruitment, onboarding, and employee documentation.
Maintain employee attendance, leave, and shift records.
Coordinate staff orientation, induction, and mandatory training programs.
Support employee engagement and performance management.
Ensure compliance with organizational HR policies.
3. Facility Management
Supervise housekeeping, security, laundry, kitchen, transportation, and maintenance services.
Ensure cleanliness, hygiene, and upkeep of the campus.
Coordinate repairs and preventive maintenance of buildings, equipment, and utilities.
Monitor water, electricity, DG sets, HVAC systems, and other infrastructure.
4. Vendor & Procurement Management
Identify, evaluate, and manage vendors.
Obtain quotations and negotiate pricing.
Ensure timely procurement of non-medical supplies.
Monitor inventory of housekeeping, office, and maintenance materials.
Verify vendor invoices and coordinate with the accounts department.
5. Regulatory Compliance
Ensure compliance with applicable laws and regulations.
Coordinate renewals of licenses and statutory registrations.
Maintain records required for inspections and audits.
Support NABH and Mental Healthcare Act (MHCA) compliance where applicable.
6. Patient Support Services
Supervise front office, reception, and admission support services.
Ensure courteous handling of patient and family enquiries.
Monitor complaint handling and resolution.
Improve patient and family satisfaction with non-clinical services.
7. Security & Safety
Ensure campus security and visitor management.
Monitor CCTV systems and access control.
Coordinate fire safety, mock drills, and disaster preparedness.
Ensure emergency response protocols are followed.
8. Budget & Cost Control
Assist in preparing departmental budgets.
Monitor operational expenses.
Identify opportunities for cost optimization without compromising quality.
Maintain records of administrative expenditures.
9. Documentation & Reporting
Maintain administrative registers and records.
Prepare operational reports and management dashboards.
Maintain asset registers and inventory records.
Ensure documentation is complete and readily available for audits.
10. Coordination with Clinical Departments
Coordinate with psychiatrists, psychologists, nursing staff, and rehabilitation teams for operational support.
Ensure timely availability of non-clinical resources.
Support smooth admission, transfer, and discharge processes.
Qualifications
Essential
Bachelor's degree in Hospital Administration, Healthcare Management, Business Administration, or a related field.
Preferred
Master's degree (MHA/MBA-Hospital Administration/MBA Operations).
3–7 years of experience in hospital, rehabilitation centre, healthcare, or institutional administration.
Experience in psychiatric or rehabilitation settings will be an added advantage.

Working Hours
8 hours per day as per the duty roster.
One weekly off on a rotational basis.
