Admin and Back Office Executive(Print-Trade Industry)

Job Summary
We are looking for a proactive and detail-oriented Admin and Back Office Executive to support our day-to-day operations in the Print-Trade industry. The role involves handling administrative tasks, managing order documentation, coordinating between sales, production, vendors, and accounts teams, and ensuring smooth execution of office and back-end activities. The ideal candidate will be organized, efficient, and capable of managing multiple responsibilities in a dynamic print and trading environment.
Key ResponsibilitiesAdministrative Support
- Handle office correspondence, calls, and emails with clients, vendors, and logistics partners.
- Maintain records of quotations, purchase orders, invoices, job sheets, and dispatch documents.
- Prepare daily and monthly MIS reports for management review.
- Manage office supplies, vendor coordination, and general office upkeep.
- Support the management team in preparing reports, letters, and presentations.
Back Office & Order Management
- Process and manage sales and purchase orders with accuracy.
- Coordinate between sales, production, and accounts departments for order execution.
- Prepare invoices, delivery challans, and ensure timely dispatch of goods.
- Maintain and update order tracking, stock, and dispatch registers.
- Follow up with clients for job approvals, payments, and dispatch confirmation.
Vendor & Client Coordination
- Communicate with printing vendors, raw material suppliers, and logistics service providers.
- Obtain quotes, raise purchase orders, and track deliveries.
- Coordinate with clients for their orders and approvals.
- Ensure proper documentation and record-keeping for all client and vendor transactions.
Office & Operational Support
- Manage petty cash, attendance registers, and expense reports.
- Assist in documentation for tenders, quotations, and vendor registrations.
- Support management with administrative requirements and operational tasks.
- Maintain confidentiality of company data and business operations.
Qualifications and Skills
- Bachelor’s degree in Commerce, Business Administration, or related field.
- 1–3 years of experience in administration, back office, or operations (preferably in print-trade or
Allied Industry).
- Proficient in MS Office (Excel, Word, Outlook) and familiar with Tally or ERP software.
- Excellent communication, coordination, and organizational skills.
- Attention to detail and ability to multitask efficiently.
- Strong follow-up and documentation abilities.
Preferred Attributes
- Experience in printing, packaging, or trading operations.
- Familiarity with raw material procurement, vendor follow-up, and dispatch documentation.
- Team player with a positive attitude and problem-solving approach.
Job Details Employment Type: Full-time
- Work Schedule: 10:00 AM – 6:30 PM, Monday to Saturday
- Salary Range: As per industry standards / experience
Job Types: Full-time, Permanent, Fresher
Pay: ₹15,000.00 - ₹20,000.00 per month
