Essential Functions and Responsibilities
Reporting to the Legal Counsel based in India and working closely with the wider Legal & Compliance team on a global basis, the Legal Administrative Coordinator will provide administrative, operational, and organizational support to the in-house Legal and Compliance team, with a particular focus on supporting the Compliance team with sanctions related work. The role is responsible for coordinating legal processes, maintaining certain legal records and databases, managing documentation, and assisting with day-to-day departmental operations.
The individual in this role will be responsible for:
- supporting the Compliance team, in particular with the sanctions checking process
- assisting the Corporate Governance team with certain administrative tasks, including KYC/UBO requests and maintaining corporate databases
- handling invoicing and vendor management activities on behalf of the Legal & Compliance team
- developing and maintaining the Legal & Compliance team Intranet
- assisting the Chief Legal Officer as required
- Assisting on ad hoc Legal & Compliance team projects
Key Responsibilities
Compliance Team Key Responsibilities (Approx. 35%)
Assisting the Compliance team:
- With sanctions related checks for clients, customers, vendors and other third parties, and follow up as needed
- With other Compliance related administrative matters, as required
- To set up structure and guidelines for new process flows
- With Annual Compliance training testing, roll out and delinquent follow ups
Corporate Governance Key Responsibilities (Approx. 35%)
Assisting the Corporate Governance team:
- Liaise with relevant business teams to complete and file corporate filings, for example annual returns and reports
- Populate and maintain Sirva’s corporate database with information about Sirva’s group entities worldwide
- Coordinate signatures on corporate documents
- Assist business teams to gather corporate or other Legal & Compliance team information, for example, for audit requests
- Prepare drafts of basic corporate documents, based on templates
- Create and manage a new process flow to handle KYC/UBO requests, and prepare and submit KYC/UBO questionnaires
Invoicing and Vendor Management Activities (Approx. 10%)
- Process and track invoices from external law firms and legal vendors
- Assist with purchase orders (when required), vendor onboarding, and payment coordination
- Maintain records of legal spend, and support budget tracking activities
- Liaise with Finance and other business teams regarding Legal & Compliance expenses
- Populate and maintain the list of Legal & Compliance team external counsel and other vendors
- Setting up a process for, and running, due diligence on vendors and assisting with new Legal & Compliance vendor onboarding
Other Support to the Legal & Compliance Team (Approx. 20%)
- develop and maintain the Legal & Compliance team Intranet
- assist the Chief Legal Officer as required, including preparing reports and dashboards
- assist on ad hoc Legal & Compliance team projects
Qualifications and Preferred Skills
Required
- 3+ years of experience in a legal administrative, legal operations, paralegal, or related support role
- Prior experience in a compliance role, including familiarity with sanctions programs
- High integrity and ethical standards, and strong professional judgment
- Strong communication, organizational and teamwork skills
- Ability to work independently and manage competing priorities
- Strong time management skills
- Able to work under pressure with positive working attitude and strong sense of responsibility
- Excellent attention to detail and analytical skills
- Strong written and verbal communication skills in English
- High level of professionalism and discretion when handling confidential information
Desirable
- In-house experience
- Understanding and exposure to corporate governance frameworks and company secretarial work
