A Back Office Executive provides critical administrative and operational support to keep a company running smoothly. They primarily work "behind the scenes" handling data management, processing documents, and supporting front-office teams, rather than interacting directly with clients.
Core Responsibilities
- Data Management: Input data into databases, spreadsheets, and company systems, ensuring high accuracy and confidentiality.
- Documentation & Filing: Process and organize documents like invoices, receipts, purchase orders, and contracts.
- Report Generation: Prepare, update, and summarize regular reports and operational statements for management.
- Administrative Support: Order office supplies, manage calendars, schedule appointments, and coordinate staff meetings.
- Department Coordination: Assist various teams (like sales, HR, or finance) with backend paperwork and cross-departmental communication.
Query Resolution: Handle internal and sometimes external inquiries/complaints via email or phone.
Key Skills & Qualifications
- Technical: Strong proficiency in MS Office Suite (Word, Excel, PowerPoint) and database management.
- Organizational: High attention to detail, strong multitasking abilities, and a knack for record-keeping.
- Communication: Clear written and verbal communication skills.
