Role description
Job Summary The Project Coordinator is responsible for supporting project execution and portfolio activities through effective coordination, reporting, governance support, financial tracking, and stakeholder communication. This role works closely with Project Managers, PMO teams, Finance, and business stakeholders to ensure project information, resource data, financials, and status updates are accurately maintained in Planview and other project management tools. Key Responsibilities Coordinate day-to-day project activities across multiple projects and workstreams. Support project governance meetings, status reviews, and stakeholder communications. Track project schedules, milestones, deliverables, dependencies, risks, issues, and action items. Prepare project status reports, dashboards, and meeting minutes for project teams and stakeholders. Maintain project data in Planview, including: Project setup and maintenance Schedule and milestone updates Project status and health reporting Resource allocation tracking Budget and financial data updates Risk, issue, assumption, and dependency tracking Change request documentation and tracking Demand intake and governance support activities Assist in monitoring project budgets, forecasts, actuals, and resource utilization. Generate project and portfolio reports from Planview for PMO and leadership reviews. Ensure project documentation is complete, accurate, and compliant with PMO standards. Support data quality initiatives and timely project reporting. Escalate project risks, issues, schedule concerns, and resource constraints to Project Managers. Collaborate with cross-functional teams to ensure smooth project execution. Contribute to process improvement initiatives related to project coordination, reporting, and governance. Qualifications Bachelor’s degree in information technology, Engineering, Life Sciences, Business Administration, or a related field. 2–5 years of experience in Project Coordination, PMO Support, Project Administration, or related functions, preferably within the Life Sciences domain. Experience working with Planview or other Project Portfolio Management (PPM) tools is preferred. Basic understanding of project financial management, budgeting, forecasting, and reporting. Proficiency in Microsoft Excel, PowerPoint, Word, and reporting tools. Strong organizational, analytical, communication, and stakeholder management skills. Ability to manage multiple priorities and work effectively in a fast-paced environment.
