Key Responsibilities
Front Office & Reception Management
Serve as the primary point of contact for all walk-in visitors, students, parents, vendors, and business partners.
Ensure a professional, welcoming, and service-oriented reception experience.
Manage visitor registrations, appointments, meeting schedules, and front desk operations.
Handle incoming telephone calls, emails, and general inquiries with professionalism and efficiency.
Maintain the reception area in accordance with organizational standards and corporate etiquette.
Coordinate meeting room bookings and visitor logistics.
Student & Customer Experience
Provide accurate information regarding academy programs, admissions, schedules, and general services.
Guide prospective students and parents to the appropriate counseling or admissions team.
Deliver exceptional customer service by ensuring prompt resolution of queries and concerns.
Build positive relationships with students, parents, and visitors while maintaining the highest level of professionalism.
Act as a brand ambassador by representing the organization's values and service standards.
Payment & Administrative Coordination
Manage the collection of student fees and other academy-related payments through approved payment channels.
Generate receipts and maintain accurate payment records and documentation.
Coordinate with the Finance team for payment reconciliation and reporting.
Monitor pending payments and assist with payment follow-ups when required.
Ensure complete accuracy and confidentiality in financial and student-related documentation.
Administrative Operations
Maintain visitor registers, admission records, correspondence, and front office documentation.
Support admissions, operations, and academic teams with administrative coordination.
Coordinate courier services, office supplies, stationery, and facility requirements.
Assist in organizing workshops, seminars, orientations, corporate visits, and academy events.
Prepare daily, weekly, and monthly administrative and operational reports.
Process Excellence
Ensure adherence to organizational policies, operational procedures, and service quality standards.
Identify opportunities to enhance front office efficiency and customer satisfaction.
Maintain confidentiality of organizational and student information.
Support cross-functional teams in achieving operational excellence.
