Position Summary
We are looking for a highly organized and proactive Program Coordinator to manage the end-to-end execution of live online workshops, certification programs, mentor sessions, and Live Labs activities.
The Program Coordinator will act as the operational bridge between mentors, participants, academic teams, Live Labs, LMS, media support, and quality teams to ensure every learning program is delivered professionally, on time, and according to established quality standards.
Key Responsibilities1. Program Planning & Coordination
- Plan and coordinate the complete lifecycle of online workshops and certification programs.
- Prepare execution plans, schedules, and operational checklists.
- Coordinate with internal teams to ensure smooth program execution.
- Monitor program activities and resolve operational issues.
2. Mentor Coordination
- Coordinate with mentors regarding schedules, session flow, presentations, and learning objectives.
- Conduct mentor briefings and technical rehearsals.
- Ensure mentor readiness for Live Labs demonstrations.
- Obtain recording consent and provide session support.
3. Participant Management
- Manage participant registrations and enrollment records.
- Share joining instructions, reminders, and LMS access details.
- Resolve participant queries via Email, WhatsApp, and phone.
- Ensure an excellent learner experience throughout the program.
4. Live Session Management
- Host and manage live sessions on Google Meet or Zoom.
- Monitor attendance, participant engagement, chat, and Q&A.
- Handle technical issues and maintain meeting discipline.
- Support mentors during live sessions.
5. Technical & Platform Readiness
- Test meeting links, recording setup, audio/video, screen sharing, LMS, and Live Labs before each session.
- Maintain backup arrangements for uninterrupted program delivery.
6. Live Labs Coordination
- Coordinate Live Labs access for mentors and participants.
- Track technical issues and collect user feedback.
- Share improvement recommendations with the technical team.
7. Recording & Content Management
- Manage workshop recordings and ensure proper storage.
- Verify recording quality and maintain documentation.
- Coordinate recording review and publishing.
8. Post-Workshop Activities
- Finalize attendance and certificate eligibility.
- Collect participant and mentor feedback.
- Prepare workshop reports and coordinate certificate distribution.
9. Quality Assurance & Reporting
- Ensure workshops follow approved SOPs and quality standards.
- Maintain execution checklists, participant records, and MIS reports.
- Submit final workshop reports and recommend process improvements.
Required Qualifications
- Bachelor's degree in any discipline.
- 2–5 years of experience in Program Coordination, Training Operations, Academic Operations, or EdTech.
- Excellent communication and organizational skills.
Required Skills
- Proficiency in Google Meet, Zoom, Microsoft Office, Google Workspace, LMS, CRM, and WhatsApp Business.
- Strong communication, coordination, stakeholder management, documentation, reporting, problem-solving, and time management skills.
- Ability to manage multiple programs while maintaining high-quality execution and customer service.
Preferred Candidate Profile
- Experience in EdTech, Training, or Academic Operations.
- Familiarity with LMS, webinars, and online learning platforms.
- Ability to work in a fast-paced environment.
Pay: ₹25,000.00 - ₹55,000.00 per month
