We are seeking a highly organized and proactive Personal Assistant (PA) to provide comprehensive administrative and coordination support to the Director. The ideal candidate will be responsible for managing schedules, handling communications, and ensuring seamless coordination with both domestic and international clients. This role requires excellent communication skills, attention to detail, and the ability to multitask in a fast-paced environment.
Key Responsibilities
- Calendar & Schedule Management
- Manage and maintain the Director’s daily, weekly, and monthly schedules
- Coordinate meetings, appointments, and travel plans
- Ensure timely reminders and follow-ups
- Meeting Coordination
- Schedule and organize internal and external meetings
- Prepare meeting agendas and materials
- Record minutes and track action items
- Email & Communication Management
- Draft, review, and send professional emails on behalf of the Director
- Handle correspondence with clients and stakeholders promptly
- Maintain confidentiality in all communications
- Client Coordination
- Act as a point of contact between the Director and clients
- Coordinate with international clients across different time zones
- Ensure smooth communication and timely updates
- Administrative Support
- Maintain records, documents, and reports
- Assist in preparing presentations and documents
- Handle travel bookings and expense tracking
Required Skills & Qualifications
- Bachelor’s degree in Business Administration or a related field (preferred)
- Proven experience as a Personal Assistant / Executive Assistant
- Excellent verbal and written communication skills
- Strong organizational and time-management abilities
- Ability to handle multiple tasks and prioritize effectively
- Proficiency in MS Office (Word, Excel, Outlook, PowerPoint)
- Ability to work with international clients and flexible with time zones
- High level of professionalism and discretion
