Job Title: Purchase & Store Assistant

Job Summary
The Purchase & Store Assistant is responsible for supporting procurement activities and managing day-to-day store operations. The role ensures timely purchasing, proper inventory control, accurate documentation, and efficient storage of food, beverage, and operational supplies to support smooth outlet operations.
Key Responsibilities
Purchase
- Raise Purchase Orders (POs) based on approved purchase requisitions.
- Coordinate with vendors for quotations, order placement, and timely deliveries.
- Follow up on pending orders and ensure uninterrupted supply of materials.
- Compare vendor quotations and assist in identifying cost-effective purchasing options.
- Maintain vendor records and purchase documentation.
- Coordinate with the Accounts team for invoice verification and payment processing.
Stores & Inventory
- Receive, inspect, and verify incoming materials against Purchase Orders and delivery challans.
- Prepare and maintain Goods Received Notes (GRNs).
- Store materials properly following FIFO (First In, First Out) and FEFO (First Expiry, First Out) principles where applicable.
- Issue materials to departments against approved requisitions.
- Monitor stock levels and inform the Purchase Manager about reorder requirements.
- Maintain accurate inventory records in ERP/Excel.
- Conduct daily, weekly, and monthly stock counts and assist in inventory audits.
- Ensure the store is clean, organized, and compliant with food safety and hygiene standards.
- Report damaged, expired, or slow-moving inventory.
Qualifications
- Bachelor's degree in Commerce, Business Administration, Supply Chain Management, or a related field.
- 1–3 years of experience in purchasing, stores, or inventory management.
- Experience in the hospitality, restaurant, brewery, or food & beverage industry is preferred.
- Basic knowledge of MS Excel and ERP/Inventory Management software.
