What you’ll do:
We are seeking an experienced and highly organised Contracts & Purchasing Coordinator to support the effective delivery of procurement, contracts, inventory, and supplier management activities across the business.
Reporting to the Finance Lead, this hands-on role is responsible for coordinating purchasing activities, managing supplier relationships, supporting inventory and logistics functions, and ensuring compliance with company policies and governance requirements.
Key Responsibilities
As the Contracts & Purchasing Coordinator, you will:
- Support the Finance Lead in the planning, coordination, and delivery of contracts and purchasing activities.
- Manage purchasing requirements by sourcing quotations, preparing procurement documentation, and obtaining required approvals.
- Coordinate supplier onboarding, registrations, contract administration, and vendor record maintenance.
- Source, collate, and maintain purchasing and delivery documentation to support invoicing and audit requirements.
- Identify, assess, and negotiate with suppliers to secure quality goods and services at competitive prices.
- Monitor and support inventory management to ensure critical materials and equipment are available when required.
- Assist with importing goods, including sourcing, permits, logistics coordination, customs, quarantine clearance, and delivery.
- Maintain purchasing records and filing systems in accordance with company and audit requirements.
- Support fleet management activities, including vehicle administration and driver licence compliance.
- Partner with the Accounts team to ensure timely supplier payments and adherence to payment terms.
- Contribute to the continuous improvement of purchasing processes, procedures, and systems.
- Provide guidance, training, and mentorship to less experienced team members.
- Ensure all purchasing activities are conducted ethically, transparently, and in accordance with company policies, governance standards, and safety requirements.
What you’ll bring:
To be successful in this role, you will demonstrate:
- A Diploma or Bachelor's degree in accounting, Business, Commerce, or a related discipline.
- Some experience in purchasing, procurement, accounts, contracts administration, or a similar corporate environment.
- Strong understanding of procurement, purchasing, logistics, supplier management, and inventory control processes.
- Experience negotiating with suppliers and managing vendor relationships.
- Working knowledge of accounting and ERP systems such as Xero, MYOB, Pronto, SAP, or similar.
- Advanced Microsoft Office skills, including the ability to prepare reports and presentations.
- Excellent organisational skills with the ability to manage competing priorities and meet deadlines.
- Strong attention to detail and commitment to accuracy.
- Exceptional communication and stakeholder management skills.
- A collaborative, professional, and ethical approach to work.
- The ability to work autonomously while contributing positively to a wider team.
