The Office Administration Manager will be responsible for managing day-to-day administrative operations while supporting statutory compliance, project documentation, approval coordination, and regulatory processes related to real estate and infrastructure projects. The role ensures smooth office functioning, maintains critical business documentation, coordinates with external authorities and consultants, and supports management in ensuring operational and regulatory efficiency across projects.
The position requires strong organizational ability, documentation management skills, and experience in handling approvals, compliance processes, and coordination with external agencies.
2. Key Responsibilities
A. Office Administration & Operations
- Oversee daily office administration and ensure smooth operational functioning.
- Manage office infrastructure, utilities, and maintenance coordination.
- Handle vendor management including housekeeping, security, facility vendors, and service providers.
- Monitor office supplies, asset records, and procurement coordination.
- Maintain administrative records, filing systems, and office documentation.
- Coordinate travel arrangements, courier services, and administrative logistics.
- Support HR and management in employee administrative requirements.
- Ensure workplace safety standards and statutory norms are followed.
B. Documentation & Compliance Support
- Maintain and organize project-related documentation including land records, agreements, contracts, vendor documents, and approval files.
- Track validity, renewals, and status of company registrations, licenses, and statutory approvals.
- Maintain compliance trackers, document repositories, and regulatory calendars.
- Support preparation and submission of documents required for project approvals and registrations.
- Assist in maintaining records for audits, inspections, and internal reviews.
C. External Coordination & Approval Management
- Coordinate with consultants, service providers, and external agencies for documentation, registrations, and approval processes.
- Assist in submission and follow-up of applications with various authorities and regulatory bodies.
- Support coordination during site inspections, compliance reviews, and official meetings.
- Maintain records of communication, submissions, and approvals related to projects and operations.
D. Business & Project Support
- Assist project and management teams in maintaining documentation related to land transactions, vendor onboarding, and project compliance requirements.
- Support preparation of agreements, documentation drafts, and record verification.
- Monitor timelines related to project approvals and documentation requirements.
- Identify documentation gaps and support timely completion of regulatory requirements.
3. Requirements
Educational Qualification
- Bachelor’s Degree in Law / Business Administration / Commerce / Management or related field – Preferred
Experience
- 3–7 years of experience in office administration, compliance coordination, or project documentation roles
- Experience in real estate, construction, infrastructure, or property development sector will be strongly preferred
- Experience handling approval documentation, registrations, and project-related records will be an advantage
