Position Summary
We are seeking a highly organized, proactive, and dependable Executive Assistant to provide comprehensive administrative and operational support to the General Manager. The ideal candidate will be responsible for managing schedules, coordinating meetings, handling confidential information, and ensuring smooth day-to-day executive operations.
Key Responsibilities
- Manage the General Manager's calendar, appointments, meetings, and travel arrangements.
- Prepare, review, and organize reports, presentations, correspondence, and other business documents.
- Coordinate internal and external meetings, including agenda preparation, meeting minutes, and follow-up on action items.
- Screen phone calls, emails, and visitors, ensuring timely and professional communication.
- Maintain confidential records and sensitive business information with the highest level of discretion.
- Coordinate with internal departments and external stakeholders to facilitate smooth communication and execution of tasks.
- Track pending assignments and ensure timely completion of commitments.
- Assist in preparing MIS reports, business presentations, and management dashboards.
- Arrange travel, accommodation, and logistics for business trips.
- Support event planning, client visits, and management meetings.
- Perform general administrative duties and undertake special projects as assigned by the General Manager.
Qualifications
- Bachelor's degree in Business Administration, Commerce, or a related field.
- 3–7 years of experience as an Executive Assistant, Personal Assistant, or in a similar administrative role.
- Proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook) and virtual meeting platforms.
- Strong written and verbal communication skills in English. Knowledge of Hindi is an added advantage.
- Excellent organizational, multitasking, and time management skills.
- High level of professionalism, integrity, and confidentiality.
- Ability to work independently and prioritize tasks in a fast-paced environment.
