Executive Assistant to Managing Partner / Partner
We are looking for a responsible, organised and proactive Executive Assistant to support the Managing Partner and Partner in their day-to-day professional activities. The role requires strong coordination, communication and follow-up skills, along with the ability to handle confidential information with discretion.
The Executive Assistant will act as a key coordination point between the partners, employees, clients, consultants and external professionals. The role will involve managing communications, meetings, documents and important follow-ups.
Key Responsibilities
- Coordinate meetings with clients, employees, consultants and other stakeholders.
- Monitor emails, messages and other communications and bring important matters to the attention of the partners.
- Prepare meeting agendas, take notes and follow up on decisions and action items.
- Draft and format emails, letters, reports, presentations and other business documents.
- Maintain proper records of documents, correspondence, client information and pending matters.
- Follow up with employees and professional teams regarding assigned work and deadlines.
- Conduct basic research and compile information relating to business, legal, financial and regulatory matters.
- Support general office administration and ensure smooth coordination between different teams and offices.
- Perform other reasonable administrative and coordination responsibilities assigned by the partners.
Candidate Requirements
- Graduate in any discipline. Candidates with qualifications in commerce, business administration, management, law or a related field will be preferred.
- Previous experience as an Executive Assistant, Personal Assistant, Office Coordinator or in a similar role is desirable.
- Excellent written and verbal communication skills in English.
- Good working knowledge of Microsoft Word, Excel, PowerPoint, email and online meeting platforms.
- Strong organisational, time-management and follow-up skills.
- Ability to prioritise multiple assignments and work with minimal supervision.
- Professional attitude and confidence in communicating with senior professionals and clients.
- High level of confidentiality, integrity and attention to detail.
- Willingness to learn about corporate, legal, financial and regulatory matters.
- Ability to communicate in Malayalam and Hindi will be an added advantage.
About the Role
This is a responsible position offering direct exposure to senior-level business, legal, corporate and financial matters. Appropriate guidance and training will be provided. The candidate should be dependable, adaptable and willing to take ownership of assignments and follow-ups.
