Job Summary
We are seeking a proactive, organized, and detail-oriented Admin Assistant / Front Office Executive to manage front office operations and provide administrative support across the organization. The ideal candidate will be responsible for handling reception activities, employee coordination, attendance tracking, documentation, communication management, facility administration, and general office support to ensure smooth day-to-day operations.
Key ResponsibilitiesFront Office & Reception Management
- Welcome and assist visitors, clients, and candidates professionally.
- Manage incoming calls, emails, and inquiries.
- Maintain visitor records and coordinate meeting room bookings.
- Handle courier, postal, and document dispatch activities.
Employee Onboarding & Documentation
- Complete new employee documentation and joining formalities.
- Issue temporary ID cards and coordinate employee registrations.
- Maintain employee records and update information in company systems.
- Assist in orientation and induction activities.
Attendance & Employee Coordination
- Monitor daily attendance, leave records, permissions, and work-from-home requests.
- Maintain attendance reports and coordinate with department heads for updates.
- Address employee queries related to attendance and administrative matters.
Email & Communication Management
- Manage official email communications and ensure timely responses.
- Maintain records of important communications and documentation.
- Coordinate with internal teams regarding administrative requirements.
Facility & Vendor Management
- Coordinate with housekeeping, security, maintenance, and other service providers.
- Monitor office cleanliness, maintenance requirements, and facility operations.
- Track office inventory and coordinate procurement of supplies when required.
- Ensure workplace safety and compliance with office policies.
Administrative Support & Reporting
- Prepare and maintain administrative records and reports.
- Support management with scheduling, coordination, and documentation tasks.
- Assist in organizing meetings, events, and employee engagement activities.
- Ensure accurate record maintenance for audits and compliance purposes.
Qualifications
- Bachelor's Degree in Business Administration, Commerce, Human Resources, or any related field.
- Freshers or candidates with up to 1 year of experience can apply.
- Proficiency in MS Office (Excel, Word, Outlook).
- Good communication and interpersonal skills.
- Strong organizational and multitasking abilities.
Preferred Skills
- Experience in front office administration or office coordination.
- Basic knowledge of attendance management and employee documentation.
- Ability to work in a fast-paced environment.
