Purpleberry Global is a luxury catering and hospitality company delivering bespoke culinary experiences for weddings, corporate events and social celebrations across India, the UAE and international destinations. The Personal Secretary will support the MD in managing his schedule, communication and day-to-day priorities with efficiency and discretion.
Role Overview
We are looking for a highly organized, proactive and discreet Personal Secretary to the Managing Director to provide dependable support across scheduling, communication, travel, meetings, follow-ups and personal office requirements.
Key Responsibilities
1. Schedule & Office Management
- Manage the Managing Director's calendar, appointments, meetings and daily schedule.
- Prioritize meetings, appointments and daily activities based on the MD's requirements and business priorities.
- Prepare the MD for meetings by arranging relevant information, documents and briefing material.
- Maintain a daily schedule, appointment diary and action list for the MD.
- Follow up on pending decisions, commitments and action points.
- Ensure that important deadlines and deliverables are brought to the MD's attention in advance.
- Coordinate internal and external meetings on behalf of the MD.
- Maintain a structured system for important documents, correspondence and business information.
2. Communication & Correspondence
- Screen, organize and coordinate incoming calls, emails, messages and correspondence for the MD.
- Draft and format professional emails, letters, notes and other correspondence as required.
- Maintain records of important communication and ensure timely follow-up.
- Coordinate with internal teams and external stakeholders on instructions given by the MD.
- Handle sensitive communication with tact, maturity and confidentiality.
3. Meetings & Follow-Up
- Schedule internal and external meetings for the MD.
- Coordinate meeting logistics and ensure that required documents are available in advance.
- Record key discussions, decisions and action points where required.
- Follow up with concerned individuals on commitments made to the MD.
- Keep the MD updated on pending matters, deadlines and important developments.
4. Business & Event Coordination
- Coordinate with sales, operations, culinary, production and event teams on matters assigned by the MD.
- Track important client requirements, event commitments and pending approvals.
- Assist with coordination of major weddings, corporate and destination events.
- Coordinate meetings with clients, planners, venues and business partners.
- Escalate critical client and event matters to the MD promptly.
5. Client & Stakeholder Coordination
- Assist the MD in managing relationships with key clients, business partners and stakeholders.
- Coordinate meetings and communication with VIP clients and corporate accounts.
- Prepare client meeting briefs and background information.
- Maintain records of important client discussions and commitments.
- Ensure timely follow-up after important meetings and discussions.
- Maintain a professional and premium communication standard consistent with the Purpleberry Global brand.
6. Reports & Documents
- Prepare daily, weekly and monthly reports as required by the MD.
- Consolidate information received from different departments into clear management reports.
- Prepare presentations, business summaries and management dashboards.
- Track important KPIs, sales opportunities, event pipelines and operational updates as required.
- Maintain action trackers and follow-up dashboards.
- Conduct basic analysis of business information and highlight key observations to the MD.
7. Travel Management
As Purpleberry Global operates across India, UAE and international markets, the Personal Secretary may be required to:
- Coordinate domestic and international travel arrangements.
- Manage flight, hotel, transportation and meeting schedules.
- Prepare detailed travel itineraries.
- Coordinate meetings during international business trips.
- Assist with documentation and logistical arrangements for international travel.
- Coordinate with international teams and stakeholders when required.
8. Personal Office Support
- Coordinate personal and professional appointments and commitments as directed by the MD.
- Assist with personal scheduling, reservations, arrangements and other day-to-day requirements entrusted by the MD.
- Maintain discretion between the MD's personal and professional matters.
- Ensure that personal office requirements are handled efficiently without compromising confidentiality.
9. Confidentiality & Information Management
- Handle confidential business, financial, client and management information.
- Maintain strict confidentiality regarding company decisions, commercial discussions, client information and internal matters.
- Ensure sensitive documents and information are appropriately stored and shared only with authorized individuals.
- Exercise sound judgment when dealing with confidential or high-level matters.
9. Confidentiality & Special Assignments
The Personal Secretary will support the MD on special assignments as required, including:
- New business development initiatives.
- New market or destination opportunities.
- Partnerships and collaborations.
- Business presentations.
- New event concepts and hospitality initiatives.
- Management-level research and analysis.
- Coordination of projects involving multiple departments.

Preferred
- Experience in hospitality, luxury catering, events, weddings, corporate events or related industries.
- Experience as a Personal Secretary, Executive Secretary, Personal Assistant or similar role supporting a Founder, Managing Director, CEO or senior business leader.
- Exposure to international clients or international business operations.
- Understanding of event planning and execution.
- Commercial awareness and understanding of business operations.
- Experience working with senior clients, HNIs, corporate leaders or VIP stakeholders.

- Effectiveness of the Managing Director's calendar and schedule management.
- Timely completion and follow-up of assigned action points.

- Efficiency of coordination between the MD and various departments.

- Ability to anticipate and resolve administrative/coordination issues.

Experience & Qualification
Education: Graduate / Postgraduate in Business Administration, Hospitality, Management, Communications or a related field.
Experience: Preferably 2–5 years of experience as a Personal Secretary, Personal Assistant, Executive Secretary or similar role.
Candidates with experience in luxury hospitality, catering, events, weddings or corporate event management will be preferred.
Working Environment
The role requires flexibility and the ability to work in a dynamic business environment. Since Purpleberry Global operates in the luxury catering and events sector, occasional extended working hours, weekend coordination, event-site visits and domestic/international travel may be required based on business requirements.

Pay: ₹45,000.00 - ₹55,000.00 per month
