1. ROLE PURPOSE
The Sales Coordinator is the single point of coordination and data control for the Prabal Ply sales function. The role acts as the operational backbone that connects management, the field sales team, Channel Partners and influencer partners — ensuring that all sales data, orders, secondary-sales tracking and scheme calculations flow through one accurate, centralised source. The person is expected to be proactive, numbers-driven and persistent in following up, so that nothing stalls between the field and the management.
2. KEY RESPONSIBILITIES
A. Sales Data & MIS — Single Source of Truth
- Central data ownership: Maintain all sales data at one point — primary and secondary sales, dispatches, dealer-wise and executive-wise numbers — so management always works from a single, reliable source.
- Calculation sheets: Build and maintain Excel calculation sheets (formulas, pivots, dashboards) for sales performance, target vs achievement, scheme payouts and MIS reporting.
- Reporting: Prepare daily / weekly / monthly sales reports for management with accurate, ready-to-review numbers.
B. Order Processing
- Order sheets: Prepare and process order sheets received from the field, verify details, and route them for dispatch.
- Order tracking: Track order status from booking to dispatch to delivery, and keep the sales team and Channel Partners informed.
C. Secondary Sales & Team Follow-up
- Aggressive follow-up: Follow up firmly and consistently with sales team members to push and record secondary sales at Channel Partner / retail level.
- Gap chasing: Identify slow-moving territories, pending numbers and lapses, and drive the team to close them within the period.
D. Field Activity Monitoring & TA Bill Verification
- Daily route tracking: Track the daily route and market-visit habits of the sales team, compare planned vs actual activity, and flag gaps or lapses in daily field discipline.
- Gap closure: Highlight low-activity days, missed routes and idle patterns to management and the concerned executive, and follow up so daily activity gaps are addressed.
- TA bill checking: Receive and check the travelling-allowance (TA) bills of the sales team, verifying them against actual routes, visits and applicable norms.
- Handover to Accounts: Verify TA claims for correctness, resolve discrepancies with the executive, and hand over cleared bills to the Accounts team for processing.
E. Management ↔ Sales Team Coordination
- Two-way bridge: Act as the coordination link between management and the field sales team — passing instructions down and field feedback up, clearly and on time.
- Follow-through: Ensure decisions, targets and instructions from management are communicated to the team and followed to completion.
F. Influencer Partner Schemes & Engagement
- Scheme calculation: Calculate influencer partner (carpenter / craftsmen) scheme entitlements, points and payouts accurately, and maintain the records for verification.
- Follow-up: Follow up with influencer partners on enrolment, activity, scheme status and their queries.
G. Brand Feedback & Complaints
- Feedback loop: Collect and log feedback and brand / product complaints from influencer partners and the field.
- Escalation: Route complaints to the concerned team, follow up for resolution, and close the loop with the partner.
3. KEY RESULT AREAS (KRAS)
- Accuracy and timeliness of all sales MIS, calculation sheets and reports.
- Zero-error, single-source sales data available to management on demand.
- On-time preparation and processing of order sheets.
- Improvement in secondary-sales reporting discipline through consistent follow-up.
- Regular tracking of the sales team's daily routes and timely closure of activity gaps.
- Accurate verification of TA bills and prompt handover of cleared bills to Accounts.
- Accurate, dispute-free calculation of influencer partner scheme payouts.
- Timely resolution and closure of logged complaints / feedback.
4. REQUIRED SKILLS & COMPETENCIES
- Excel (must-have): Strong working knowledge of MS Excel — formulas, VLOOKUP/HLOOKUP, pivot tables, conditional formatting — to build calculation sheets and MIS independently.
- Follow-up drive: Persistent, assertive and proactive in following up with team members and partners until closure.
- Coordination: Clear communicator; able to coordinate smoothly between management, field team and partners.
- Data discipline: Organised and detail-oriented, with a habit of keeping one clean, updated source of data.
- Numeracy: Comfortable with numbers, scheme calculations and reconciliations.
- Tools: Working knowledge of Tally / ERP and WhatsApp-based coordination is an advantage.
5. QUALIFICATIONS & EXPERIENCE
- Graduate (B.Com / BBA preferred); a background in commerce or an analytical discipline is an advantage.
- 1–4 years of experience in a sales coordination, sales MIS, back-office or sales support role — preferably in plywood, building materials, FMCG or a dealer-distribution business.
- Freshers with strong Excel skills and the right attitude may also be considered.
6. REPORTING & WORKING RELATIONSHIP
The Sales Coordinator reports to the Zonal Head / Management and works closely with the field sales team, Channel Partners and influencer partners. The role is office-based with continuous coordination across the Prabal Ply sales network in the Eastern Zone.
Pay: ₹21,000.00 - ₹30,000.00 per month
