Job Description
We are looking for a proactive and people-focused Senior HR & Admin Executive to lead Aeternum's human resources and administrative operations. You will play a key role in attracting top talent, building an exceptional workplace culture, managing employee experiences, and ensuring our day-to-day office operations run smoothly.
Working closely with the leadership team and department heads, you'll help build a high-performing organization while creating processes that support our continued global growth.
Key Responsibilities:
- Talent Acquisition: Manage the complete recruitment lifecycle, including sourcing, screening, interviewing, coordinating interviews, negotiating offers, and onboarding exceptional talent.
- Employer Branding: Strengthen Aeternum's employer brand through careers pages, LinkedIn, recruitment campaigns, employee engagement initiatives, and campus or industry hiring programs.
- Employee Onboarding & Offboarding: Deliver a structured onboarding experience for new hires and manage professional exit processes, documentation, and knowledge transfer.
- Performance Management: Coordinate probation reviews, performance evaluations, feedback cycles, appraisals, and career development discussions.
- Employee Engagement: Organize employee engagement initiatives, celebrations, team-building activities, recognition programs, and wellness initiatives to build a positive workplace culture.
- Learning & Development: Identify skill gaps, coordinate internal and external training programs, and support continuous employee growth.
- HR Operations: Maintain employee records, HR documentation, attendance, leave management, payroll coordination, policy implementation, and statutory compliance.
- HR Policies & Compliance: Develop, implement, and continuously improve HR policies while ensuring compliance with labour laws and company standards.
- Office Administration: Oversee office operations, facilities management, vendor coordination, office supplies, travel arrangements, employee assets, and day-to-day administrative activities.
- Asset & Inventory Management: Maintain records of laptops, equipment, ID cards, access control, office inventory, and employee asset allocation.
- Vendor & Facility Coordination: Coordinate with vendors, housekeeping, internet providers, maintenance teams, security personnel, and office management partners to ensure a productive workplace.
- Employee Relations: Act as the first point of contact for employee concerns, conflict resolution, workplace grievances, and HR support while maintaining confidentiality.
- Documentation & Reporting: Prepare HR reports, recruitment dashboards, headcount reports, organization charts, and administrative records for leadership.
- Support Leadership: Assist leadership with workforce planning, organizational development, succession planning, and strategic HR initiatives.
- Culture Building: Foster an inclusive, collaborative, and high-performance culture that reflects Aeternum's values and ambitions.
Requirements:
- Experience: 3-5 years of experience in Human Resources, Talent Acquisition, People Operations, Administration, or a similar role.
- Recruitment Expertise: Proven ability to attract, assess, hire, and retain top talent across multiple business functions.
- HR Operations Knowledge: Strong understanding of recruitment, onboarding, employee lifecycle management, payroll coordination, attendance management, leave administration, and HR documentation.
- Administrative Experience: Experience managing office administration, facilities, vendors, procurement, travel coordination, employee assets, and workplace operations.
- Employment Law Awareness: Good understanding of labour laws, HR compliance, statutory requirements, and HR best practices.
- People Skills: Strong interpersonal skills with the ability to build trust, resolve conflicts professionally, and maintain positive employee relationships.
- Communication & Collaboration: Excellent written and verbal communication skills with the ability to work effectively across departments and leadership teams.
- Organizational Skills: Exceptional attention to detail with the ability to manage multiple priorities, deadlines, and confidential information.
- Technology Proficiency: Comfortable using HRMS platforms, Microsoft Office, Google Workspace, ATS platforms, and AI productivity tools such as ChatGPT to improve workflows and documentation.
- Integrity & Confidentiality: High level of professionalism with the ability to handle confidential employee and company information responsibly. An NDA will be required.
- Fluent in English: Excellent written and spoken English is essential.
