Position Title: Audit Executive
Shift: A Shift (6.30 am – 3.30 pm)
Department: Operations / Fleet Management
Reporting To: Admin / Operations Manager
Job Summary:
The Audit Executive is responsible for ensuring operational efficiency, vehicle compliance, and safety standards across the transport fleet. The role involves conducting systematic vehicle audits, monitoring maintenance quality, verifying driver and vehicle documentation, and ensuring strict adherence to company policies within the transport operations. The position requires strong coordination with maintenance, diesel, and operations teams, along with accurate documentation and reporting practices.
Key Responsibilities:
1. Vehicle Audit & Fleet Inspection
- Conduct daily audits of A & B shift vehicles (minimum 10 vehicles per day) to ensure operational readiness.
- Perform detailed inspections of vehicles post-maintenance to verify quality and roadworthiness.
- Carry out random checks on vehicle cleanliness, hygiene, and overall condition during shift movements.
- Ensure vehicles meet company standards for safety, cleanliness, and performance before deployment.
2. Audit Reporting & Documentation
- Maintain and update daily vehicle audit reports in Excel with detailed observations and remarks.
- Record audit findings, defects, and corrective actions in a structured and traceable format.
- Maintain vehicle-wise audit history including maintenance records and recurring issues.
- Prepare and update Weekly RNTC audit reports.
- Develop and submit weekly audit presentations (PPT) to the Admin/Management team.
- Ensure proper filing, record maintenance, and archiving of all audit-related documents for future reference and audits.
3. Maintenance Coordination & Follow-up
- Communicate audit findings and vehicle issues to the Maintenance Team on a daily basis.
- Maintain a structured tracker for issues raised, actions initiated, and closure status.
- Follow up with maintenance teams to ensure timely rectification of defects.
- Verify and document the quality of completed maintenance work before vehicle release.
- Highlight recurring issues and support continuous improvement initiatives.
4. Compliance Monitoring & Control
- Monitor and report any unauthorized usage of vehicles or misuse of company resources within the campus.
- Ensure all fleet operations comply with transport regulations and company policies.
- Maintain records of non-compliance incidents and escalate to management as required.
- Support internal audits and compliance checks by providing necessary documentation and reports.
5. Safety & PPE Monitoring
- Ensure strict adherence to safety protocols during diesel filling operations.
- Monitor Diesel and Maintenance teams for proper usage of Personal Protective Equipment (PPE) such as safety shoes, helmets, and aprons.
- Record safety violations and maintain incident/observation logs.
- Support implementation and tracking of corrective and preventive safety actions.
- Promote a safety-first culture across transport operations.
Key Documentation Responsibilities:
- Maintain and update Driver Documentation (License, Badge, ID Proof, Validity Tracking).
- Maintain and update Vehicle Documentation (RC, Insurance, FC, Permit, Pollution Certificate).
- Ensure all statutory documents are valid and renewed on time.
- Maintain proper filing system for all audit and compliance records.

Key Skills & Competencies:
- Strong knowledge of transport and fleet operations
- Excellent documentation and record management skills

- Strong coordination and follow-up ability
- Attention to detail and accuracy
- Knowledge of vehicle compliance, safety, and regulatory requirements
Performance Indicators (KPIs):
- Daily completion of vehicle audits (minimum 10 vehicles)
- Accuracy and completeness of audit documentation
- Timely submission of daily and weekly reports
- Reduction and closure rate of audit observations
- Compliance level of vehicles and documentation
- Adherence to safety and PPE standards
- Reduction in repeat maintenance issues
