Roles & Responsibilities of an Executive Assistant (EA)
1. Calendar & Schedule Management
· Manage meetings, appointments, and daily schedules
· Prioritize time-sensitive commitments
· Coordinate internal and external meetings
· Send reminders and follow-ups
2. Communication Management
· Screen calls, emails, and messages
· Draft professional emails, letters, and responses
· Act as liaison between executive and stakeholders
· Handle confidential communication discreetly
3. Travel & Logistics
· Arrange flights, hotels, transport, visas
· Prepare travel itineraries
· Manage travel reimbursements and expenses
4. Meeting Coordination
· Prepare agendas and presentations
· Take minutes of meetings (MoM)
· Track action points and deadlines
· Follow up with departments for updates
5. Administrative Support
· Maintain records, files, and documents
· Prepare reports, dashboards, and MIS
· Handle expense statements and invoices
· Manage office supplies or executive requirements
6. Project & Task Management
· Track ongoing projects on behalf of leadership
· Coordinate cross-functional teams
· Ensure timely execution of decisions
· Escalate delays or issues proactively
7. Stakeholder Coordination
· Coordinate with vendors, clients, trustees, board members, or partners
· Manage event invitations and VIP visits
· Build professional relationships on behalf of executive
8. Confidentiality & Trust
· Handle sensitive business and personal information
· Maintain discretion and professionalism at all times
