Job Summary
The IT Executive & Data Entry Operator will be responsible for maintaining the Company's IT infrastructure, providing technical support to employees, ensuring data security, managing hardware and software assets, maintaining company email systems, and performing accurate and timely data entry into the Company's ERP, logistics, finance, and operational systems. The role requires strong technical knowledge, attention to detail, and the ability to support business operations across all departments.
Key Responsibilities
A. Information Technology Responsibilities
- Install, configure, and maintain desktops, laptops, printers, scanners, biometric devices, routers, switches, and other IT equipment.
- Troubleshoot hardware, software, network, email, and internet-related issues.
- Manage Microsoft Windows operating systems and Microsoft Office applications.
- Create and manage employee email accounts and user access permissions.
- Maintain company servers, cloud storage, shared folders, and data backups.
- Monitor antivirus protection, firewall security, and system updates.
- Ensure periodic backup of business-critical data and recovery procedures.
- Coordinate with external IT vendors for AMC, repairs, and software licensing.
- Maintain IT asset inventory and update asset allocation records.
- Install and upgrade licensed software whenever required.
- Monitor internet connectivity and resolve network downtime.
- Support video conferencing platforms such as Microsoft Teams, Zoom, and Google Meet.
- Maintain CCTV systems, access control systems, and attendance devices.
- Ensure compliance with Company IT policies and cybersecurity standards.
- Assist in implementation of ERP, CRM, or logistics software.
B. Data Entry Responsibilities
- Update freight forwarding and logistics records on a daily basis.
- Maintain customer master data and vendor information.
- Verify data accuracy before submission.
- Generate reports from ERP or Excel as required.
- Scan, upload, and digitally organize business documents.
- Prepare spreadsheets and MIS reports.
C. Administrative Support
- Maintain records of IT purchases, warranties, and annual maintenance contracts.
- Coordinate with internet service providers and hardware vendors.
- Assist during office setup, relocations, and workstation installations.
- Support employees during software installations and system configurations.
- Prepare user manuals or basic IT guidance whenever required.
- Prepare professional PowerPoint presentations for Management, ensuring accuracy, consistency, and adherence to the Company's branding guidelines.
Skills & Competencies
- Excellent knowledge of computer hardware and troubleshooting.
- Good understanding of networking concepts (LAN/WAN/Wi-Fi).
- Knowledge of Microsoft Windows and Microsoft Office.
- Familiarity with Outlook email administration.
- Working knowledge of ERP or logistics software is preferred.
- Strong Excel skills (VLOOKUP, Pivot Tables, basic formulas).
- Ability to handle multiple assignments simultaneously.
- Strong communication and interpersonal skills.
Educational Qualification
- Bachelor's Degree in Computer Science, Information Technology, Computer Applications, or a related field.
- Diploma or certification in Hardware & Networking, CCNA, MCSE, or equivalent will be an added advantage.
Experience
- 2–3 years of experience in IT support, system administration.
- Experience in a logistics, freight forwarding, shipping, or corporate environment will be preferred.
