About the RoleWe're looking for a personable, organized professional to be the face of our workplace. As a Workplace Ambassador, you'll be the first point of contact for employees, visitors, and vendors, while ensuring our office runs smoothly day-to-day. Think of this as part hospitality host, part problem-solver, part community builder.
You'll create a welcoming environment, coordinate daily operations, and make sure people have what they need to work effectively. This role suits someone who genuinely enjoys helping others and thrives in a dynamic, people-focused environment.
What You'll Actually Be DoingFront-of-House Operations
Greeting employees, clients, and visitors as they arrive
Managing visitor registration, access badges, and meeting room coordination
Handling incoming calls, deliveries, and mail distribution
Maintaining reception and common areas to ensure they're presentable and welcoming
Monitoring building access and alerting security or management to any concerns
Coordinating conference room bookings and resolving scheduling conflicts
Setting up meeting spaces with required technology, catering, and materials
Employee Support
Acting as first point of contact for workplace-related questions and requests
Logging and triaging maintenance issues, IT problems, and facilities requests
Coordinating desk moves, seating changes, and workspace adjustments
Managing office supplies inventory and placing orders as needed
Supporting new hires with workspace orientation and building access
Addressing day-to-day employee needs (parking passes, printer issues, temperature complaints)
Maintaining internal workplace communication boards or digital platforms
Workplace Experience
Organizing or supporting office events, celebrations, and team activities
Helping foster a positive office culture and sense of community
Gathering feedback on workplace services and suggesting improvements
Supporting wellness initiatives, sustainability programs, or employee engagement activities
Coordinating food and beverage services (coffee stations, pantry supplies, catering)
Managing amenity bookings (fitness rooms, collaboration spaces, quiet rooms)
Administrative Coordination
Maintaining vendor relationships (cleaners, caterers, maintenance contractors)
Tracking workplace expenses and processing invoices
Updating workplace documentation, contact lists, and emergency procedures
Assisting with health and safety compliance (visitor logs, emergency drills)
Supporting workplace data collection (occupancy tracking, space utilization)
What We're Looking ForRequired
1-3 years experience in hospitality, customer service, reception, or office coordination roles
Exceptional interpersonal skills and professional demeanor
Strong organizational abilities and attention to detail
Comfortable handling multiple requests simultaneously without getting flustered
Proactive problem-solver who takes initiative rather than waiting to be told what to do
Proficiency with Microsoft Office, calendar systems, and workplace management platforms
Flexibility to adapt to changing priorities throughout the day
Discretion and professionalism when handling confidential information
Helpful
Experience in corporate office environments or workplace services
Background in hospitality or event coordination
Familiarity with workplace technology (video conferencing, desk booking systems, visitor management software)
Basic understanding of facilities operations
Multilingual skills (depending on your location)
