Executive Assistant to CEO cum HR & Administration Executive

Experience Required
- 5–10 years of relevant experience in Trading, Manufacturing, or MSME organizations.
- Proven experience in Executive Assistance, Human Resources, Administration, and Compliance functions.
- Experience working directly with senior leadership/CEO/Managing Director.
- Strong understanding of HR operations, labor compliance, office administration, and business coordination.

Job Summary
We are seeking a highly organized, proactive, and multitasking professional to serve as an Executive Assistant to the CEO cum HR & Administration Executive. The role requires managing executive office operations, HR functions, administration, compliance, documentation, and cross-functional coordination to ensure smooth organizational functioning. The ideal candidate should possess excellent communication, leadership, problem-solving, and stakeholder management skills with prior experience in the MSME, trading, or manufacturing sector.
Key Responsibilities1. CEO's Desk Coordination & Executive Support
- Coordinate internal and external communications on behalf of the CEO.
- Prepare presentations, reports, MIS, meeting agendas, and minutes of meetings (MOM).
- Track action points from meetings and ensure timely closure.
- Handle confidential information with utmost discretion.
- Assist in strategic planning, project coordination, and business follow-ups.
- Liaise with clients, vendors, consultants, government authorities, and key stakeholders.
- Support the CEO in decision-making through data collection, analysis, and reporting.
2. Human Resources (HR Responsibilities)
- Manage end-to-end recruitment and onboarding processes.
- Coordinate manpower planning and workforce requirements.
- Maintain employee records, HRMIS, attendance, leave, and employee database.
- Handle employee engagement, grievance management, and retention initiatives.
- Coordinate performance appraisal processes and KPI tracking.
- Prepare HR policies, SOPs, employee handbooks, and organizational communications.
- Manage induction, training, and development programs.
- Support payroll processing and employee benefits administration.
- Ensure compliance with labor laws and statutory HR requirements.
3. Administration & Operations
- Oversee day-to-day office administration and facility management.
- Manage office assets, inventory, housekeeping, security, and maintenance.
- Coordinate vendor management, AMC contracts, procurement, and service providers.
- Ensure smooth functioning of office infrastructure and utilities.
- Monitor operational processes and implement efficiency improvements.
- Manage travel bookings, accommodation, and logistics for employees and management.
- Support business operations through effective coordination among departments.
4. Compliance & Documentation
- Maintain statutory records, licenses, registrations, and company documentation.
- Coordinate compliance related to labor laws, MSME requirements, and regulatory authorities.
- Ensure timely renewal of licenses, contracts, agreements, and certifications.
- Maintain documentation related to audits, inspections, and legal matters.
- Draft and manage correspondence, agreements, policies, and official records.
- Support internal and external audits by maintaining accurate documentation.
- Ensure proper record management and document control systems.
5. Team Management
- Lead and supervise administration and support staff.
- Allocate responsibilities and monitor team performance.
- Drive accountability, discipline, and adherence to organizational policies.
- Facilitate communication between management and employees.
- Support a positive work culture and employee engagement initiatives.
- Coordinate with department heads for operational requirements and issue resolution.

Educational Qualification

Pay: ₹65,000.00 - ₹85,000.00 per month
