Position Summary
We are seeking a highly organized, proactive, and professional Executive Assistant to provide comprehensive administrative and operational support. The ideal candidate will be responsible for coordinating organizational operations, facilitating communication between departments, ensuring smooth administrative functioning, and supporting the Chairman in executing strategic and operational priorities. The role requires exceptional organizational skills, attention to detail, strong interpersonal abilities, and the capacity to manage multiple responsibilities in a fast-paced environment.
Key Responsibilities Administrative & Operational Support
● Manage and coordinate interdepartment coordinations.
● Monitor and follow up on organizational tasks, projects, and administrative activities assigned.
● Prepare reports, presentations, meeting agendas, and correspondence as required.
● Maintain confidential records, documents, and organizational information.
● Coordinate internal approvals, documentation, and administrative processes.
● Ensure timely completion of tasks delegated by the Chairman across departments.
Coordination & Staff Facilitation
● Facilitate communication and workflow among administrative, HR, finance, operations, marketing, and other departments.
● Track departmental deliverables and ensure adherence to timelines.
● Support employees by coordinating resources, approvals, and administrative requirements.
● Follow up on action items arising from meetings and ensure execution by respective teams.
Meeting & Communication Management
● Schedule, organize, and coordinate meetings, appointments, and internal reviews.
● Prepare minutes of meetings and circulate action points to stakeholders.
● Ensure effective communication between the Chairman and internal teams.
● Coordinate with external stakeholders, vendors, and service providers when required.
Required Qualifications ●
Master’s in Business Administration, Management, Commerce, or a related field.
● Minimum 2 years of experience in Executive Assistant, Administrative Coordinator, Office Manager, or similar roles.
● Experience working with senior management or executive leadership is preferred.
Required Skills & Competencies
● Excellent organizational and multitasking abilities.
● Strong written and verbal communication skills in English.
● Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
● Strong follow-up and coordination skills.
● Ability to maintain confidentiality and handle sensitive information.
