Key ResponsibilitiesCalendar & Schedule Management
- Manage the CEO's calendar, appointments, and daily schedules.
- Coordinate internal and external meetings, ensuring timely communication and follow-ups.
- Prioritize meetings and commitments based on business requirements.
- Maintain meeting schedules and reminders.
Communication & Correspondence
- Handle emails, calls, and communications on behalf of the CEO when required.
- Draft professional emails, meeting notes, presentations, and reports.
- Coordinate with internal teams and external stakeholders.
- Ensure timely follow-up on pending discussions and action items.
Meeting Coordination & Follow-Ups
- Prepare agendas, minutes of meetings (MoMs), and action trackers.
- Follow up with departments to ensure completion of assigned tasks.
- Track business priorities and provide regular updates to the CEO.
Executive Support
- Assist in preparing presentations, business reports, and operational summaries.
- Support the CEO with research, data collection, and business analysis.
- Manage confidential documents and sensitive business information with discretion.
- Coordinate with leadership teams on strategic and operational initiatives.
Travel & Event Coordination
- Arrange travel, accommodation, and logistics whenever required.
- Coordinate schedules for external meetings, conferences, and business events.
- Ensure smooth planning and execution of executive engagements.
Operational Coordination
- Work cross-functionally with HR, Sales, Marketing, Product, and Operations teams.
- Monitor progress on key business initiatives.
- Assist in process management and organizational efficiency projects.
RequirementsMust-Have Skills
- 2–6years of experience as a Personal Assistant, Founder's Office Associate, or similar role.
- Excellent verbal and written communication skills.
- Strong organizational and time-management abilities.
- High level of professionalism and confidentiality.
- Ability to multitask and manage competing priorities.
- Strong attention to detail and problem-solving mindset.
- Proficiency in Microsoft Office, Google Workspace, and presentation tools.
Preferred Qualifications
- Experience working directly with founders, CXOs, or senior leadership.
- Background in startups, business operations, administration, or executive support.
- Experience preparing reports, presentations, and meeting documentation.
- Strong follow-up and stakeholder management skills.
