Job Description: Transport ExecutiveAccount: UBS
Location: BKC (Primary), with rotational support to Airoli
Reporting To: India Transport Manager
Position OverviewThis role is primarily responsible for managing transport operations across UBS account locations in BKC and Airoli. The executive will ensure seamless transportation services for employees while providing occasional support to facilities operations. The position requires working in rotation between both sites to ensure consistent service delivery.
Key ResponsibilitiesTransport Operations ManagementDaily Operations Management Coordinate and manage daily transport schedules for employees across BKC and Airoli locations. Ensure timely pickup and drop services while maintaining route optimization and adherence to scheduled timings. Monitor real-time GPS tracking systems and address any delays or route deviations immediately.
Vendor and Driver Management Liaise with transport vendors to ensure compliance with service level agreements and contractual obligations. Conduct regular driver briefings on safety protocols, professional conduct, and route updates. Maintain updated records of driver licenses, vehicle documents, and insurance certificates. Address driver-related issues and escalate concerns to the India Transport Manager as needed.
Fleet Coordination and Compliance Ensure all vehicles meet safety and maintenance standards through regular inspections and service schedules. Coordinate vehicle repairs, replacements, and emergency backup arrangements. Verify compliance with local transport regulations, including permits, pollution certificates, and fitness certificates.
Employee Experience and Communication Serve as the primary point of contact for employee transport queries and concerns. Manage employee transport registrations, route changes, and ad-hoc transport requests. Collect and analyze employee feedback to continuously improve service quality.
Reporting and Documentation Prepare daily transport reports including vehicle utilization, adherence metrics, and incident logs. Maintain comprehensive records of transport operations, vendor invoices, and compliance documents. Provide monthly performance reports to the India Transport Manager with insights and recommendations.
Cost Management Monitor transport expenses and identify opportunities for cost optimization. Track fuel consumption, overtime charges, and variable costs. Support budget planning and vendor negotiations as required.
Facilities Support (As Required)Operational Backup Provide occasional support for facilities management activities during peak periods, staff absence, or operational needs. Coordinate with housekeeping, security, and maintenance vendors when required. Address minor facilities-related queries and escalate critical matters to the appropriate facilities team.
Vendor Coordination Assistance Support facilities vendor management including basic coordination, service quality observations, and communication. Assist with visitor management, meeting room coordination, or access-related activities when needed.
Rotation and CoverageWork in rotation between BKC (primary location) and Airoli to provide consistent transport operations support across both sites. Be prepared for flexible scheduling to accommodate operational needs, peak periods, or emergency situations. Ensure seamless handover of responsibilities during location transitions.
Required QualificationsEducation: Graduate degree in any discipline; Bachelor's degree in Business Administration, Logistics, or related field preferred
Experience: 3-5 years of experience in transport operations or logistics coordination, preferably in corporate or commercial real estate environments. Basic knowledge or exposure to facilities management operations is advantageous.
Technical Skills:
Proficiency in MS Office Suite (Excel, Word, PowerPoint)
Experience with GPS tracking systems and transport management software
Familiarity with basic facilities management processes is a plus
Regulatory Knowledge: Understanding of local transport regulations, vehicle compliance requirements, and safety standards

Vendor Management: Experience negotiating with and managing external service providers to ensure quality and compliance
