Marine Assistant
Authority:
- To request information and reports from vessels related to voyage, navigation, and compliance.
- To escalate operational or safety concerns to the Marine Manager or Director.To stop administrative processing if documents/certificates are found invalid or expired (subject to Marine Manager review).
Roles and responsibility
1. Fleet Operations Support
- Assist the Marine Manager in monitoring vessel movements, port calls, voyage progress, and performance reports.
- Coordinate with agents, port authorities, and service providers to support vessels during port operations.
- Ensure timely circulation of operational instructions, voyage orders, and charterer requirements.
- Follow up on bunkering plans, port clearance documentation, and voyage reports.
2. Documentation & Compliance
- Maintain updated records of vessel certificates, crew lists, and statutory documentation.
- Track expiry dates for Class, Flag, and statutory certificates and alert the Marine Manager in advance.
- Assist in preparing vessels for Port State Control, Class, Flag, Oil Major, and Vetting inspections.
- Distribute and control navigational publications, charts, and circulars in coordination with the Marine Manager.
3. Crewing & Training Support
- Assist in scheduling crew changes in coordination with Crewing Department and Marine Manager.
- Track crew certification, medical fitness, and training requirements (e.g., STCW, Flag endorsements).
- Maintain crew training records and support organization of onboard drills, safety campaigns, and debriefings.
- Circulate safety alerts, lessons learned, and HSSEQ bulletins to vessels and crews.
4. Safety Management System (SMS) Implementation
- Support the Marine Manager in ensuring vessel compliance with SMS procedures.
- Assist in distributing updated SMS manuals, circulars, and company instructions to vessels.
- Track non-conformities, near misses, and corrective actions, ensuring timely closure.
- Maintain a central database of operational reports, audits, and safety statistics.
5. Communication & Coordination
- Act as the first point of contact for vessels on day-to-day operational queries.
- Relay urgent operational or safety matters to the Marine Manager without delay.
- Maintain effective communication channels between ship and shore.
- Support coordination during vessel emergencies and participate in the Emergency Response Team (ERT) for administrative/logistical follow-up.
6. Reporting & Continuous Improvement
- Compile and submit regular operational summaries for management review.
- Assist in preparation of KPI reports related to navigation, cargo operations, and compliance.
- Identify recurring issues from vessel reports and recommend improvements.
- Support the Marine Manager in organizing management review meetings and fleet performance analysis.
experience: Minimum 2 years experience required
Pay: ₹35,000.00 - ₹70,000.00 per month
