The Front Desk Night Shift team member is responsible for overseeing overnight operations at the hotel, ensuring smooth check-in/check-out for late arrivals and early departures, handling guest inquiries, and maintaining security and safety of the premises. This role requires attention to detail, excellent communication skills, and the ability to manage guest requests or emergencies during night hours.
Key Responsibilities:
- Manage and process all guest reservations via phone, email, online portals, and walk-ins using hotel reservation software.
- Enter and update bookings accurately in the Property Management System (PMS) or reservation software.
- Monitor room availability and ensure maximum occupancy by optimizing inventory and pricing (if applicable).
- Coordinate with the front office, housekeeping, and sales teams to ensure smooth guest check-ins and check-outs.
- Maintain accurate records of daily bookings, cancellations, modifications, and no-shows.
- Prepare reservation reports and analyze trends to support management decisions.
- Handle guest inquiries, complaints, and special requests with professionalism and efficiency.
- Train and supervise junior reservation staff (if applicable).
- Ensure all guest information is maintained securely and confidentially.
- Collaborate with online travel agents (OTAs) and update availability as needed.
Requirements:
- Proven experience as a Reservation Manager or similar role in the hospitality industry.
- Proficiency in hotel reservation software / PMS (e.g., Opera, Cloudbeds, IDS, eZee, etc.).
- Strong communication and organizational skills.
- Ability to work in a fast-paced environment with attention to detail.
- Customer service mindset with problem-solving abilities.
- Basic knowledge of MS Office (Word, Excel, Outlook).
