About the Role
Flexim Group is looking for a proactive and service-oriented Facility Coordinator to support the day-to-day management of our Hyderabad client site. Working closely with the Facilities Manager, you will play a key role in ensuring a safe, efficient, and well-maintained workplace while delivering excellent employee and client experience.
This is a hands-on operational role requiring strong organizational skills, attention to detail, and the ability to coordinate multiple priorities in a fast-paced environment.
Key Responsibilities
Facilities Operations
- Coordinate daily building operations, maintenance activities, and service delivery.
- Conduct regular workplace inspections and follow up on corrective actions.
- Support preventive and reactive maintenance programs.
Work Orders & Service Requests
- Act as the primary point of contact for facilities-related requests.
- Manage and update service tickets, ensuring timely resolution and communication.
- Escalate complex issues and recurring trends to the Facilities Manager.
Health, Safety & Compliance
- Support compliance with workplace health and safety requirements.
- Assist with emergency preparedness, incident reporting, and safety inspections.
- Ensure fire protection and life-safety systems are maintained and compliant.
Vendor & Contractor Management
- Coordinate external vendors and contractors on-site.
- Verify compliance with site safety and access requirements.
- Ensure work is completed to agreed standards and timelines.
Space & Workplace Management
- Coordinate office moves, ads, and changes.
- Maintain seating plans and workspace records and support workplace utilization initiatives.
Financial & Administrative Support
- Review supplier invoices and supporting documentation.
- Maintain facilities records, maintenance logs, and asset registers.
Events & Meeting Support
- Assist with meeting room setups, office events, client visits, and town halls.
- Coordinate logistics with reception and internal stakeholders.
Qualifications & Experience
- Degree or vocational qualification in Facilities Management, Administration, or a related field.
- Minimum 3 years of experience in a Facility Coordinator, Workplace Coordinator, or similar operational support role.
- Experience working with vendors, contractors, and internal stakeholders.
- Strong understanding of day-to-day facilities operations.
Skills

- Proficiency in Microsoft Office (Outlook, Excel, Word, Teams).
