Job Title: Assistant Administrator
Job Summary:
The Assistant Administrator supports the daily administrative operations of the organization and is responsible for handling local purchases, vendor coordination, documentation, and general office support to ensure smooth and efficient business operations.
Key Responsibilities:
Administrative Duties:
- Provide general administrative and clerical support to management and staff.
- Travel for official work
- Maintain office files, records, and documentation (physical and digital).
- Handle incoming and outgoing correspondence, emails, and phone calls.
- Prepare reports, letters, memos, and other documents as required.
- Coordinate meetings, appointments, and travel arrangements.
- Maintain office supplies inventory and place orders when required.
- Ensure proper upkeep of office facilities and equipment.
Local Purchase & Procurement Duties:
- Handle day-to-day local purchase requirements for office and operational needs.
- Travel for any local procurement.
- Source quotations from local suppliers and compare prices.
- Negotiate with vendors for best pricing and terms.
- Prepare purchase orders and maintain purchase records.
- Coordinate with suppliers for timely delivery of goods.
- Verify invoices and coordinate with accounts for payment processing.
- Maintain vendor database and ensure compliance with company policies.
- Track and report purchase expenses and budgets.
Coordination & Support:
- Liaise between departments for procurement and administrative needs.
- Assist in maintaining inventory records and stock control.
- Support audits by providing necessary documentation.
- Ensure compliance with company policies and procedures.
Qualifications & Skills:
- Bachelor’s degree in Business Administration or related field (preferred).
- 1–2 years of experience in administration and local purchasing.
- Good knowledge of procurement procedures.
- Strong communication and negotiation skills.
- Proficiency in MS Office (Word, Excel, Outlook).
- Good organizational and time management skills.
- Ability to multitask and work under pressure.
Job Type: Full-time
Pay: ₹21,500.00 - ₹25,000.00 per month
