Experience:
- 2+ years of experience in Back Office, Sales Coordination, Order Processing, or Customer Coordination
- Experience in manufacturing, aluminium, building materials, fabrication, or related industries preferred
- Experience handling quotations, customer follow-ups, order coordination, and documentation
Salary: ₹20,000 - ₹30,000 per month
Roles:
1. Sales Coordination
- Prepare quotations and proforma invoices.
- Follow up with customers for quotation approvals.
- Generate sales orders and work orders.
- Coordinate with the sales team regarding customer requirements.
- Maintain customer database and inquiry records.
- Update order status and delivery schedules.
2. Order Processing
- Receive and verify customer orders.
- Prepare order confirmation documents.
- Coordinate with production/fabrication teams for execution.
- Track pending and completed orders.
- Maintain order-wise documentation.
3. Inventory & Stock Management
- Maintain stock records of: Aluminium profiles Window hardware Glass accessories Fasteners Sealants and consumables
- Monitor stock levels.
- Generate stock reports.
- Coordinate physical stock verification.
- Inform management about reorder requirements.
4. Purchase Coordination
- Prepare purchase requisitions.
- Obtain quotations from suppliers.
- Create purchase orders.
- Follow up for material deliveries.
- Maintain vendor records.
- Compare supplier rates and delivery timelines.
5. Dispatch & Logistics
- Coordinate dispatch schedules.
- Prepare delivery challans.
- Coordinate transportation and courier arrangements.
- Track material movement.
- Maintain dispatch records.
6. Accounts Support
- Generate invoices.
- Follow up for customer payments.
- Maintain receivable and payable records.
- Coordinate with accountants for GST and accounting entries.
- Prepare daily collection reports.
7. Documentation & MIS
- Maintain all company records digitally.
- Prepare daily, weekly and monthly MIS reports.
- Update Excel records.
- Maintain customer, vendor and project files.
- Prepare management reports.
8. Customer Service
- Handle incoming customer calls.
- Resolve basic customer queries.
- Provide order and delivery updates.
- Coordinate complaint resolution with relevant departments
Qualification:
- Graduate in Commerce, Business Administration, or any relevant field
- Proficiency in MS Excel, MS Word, Email Communication, and Google Sheets
