About the Role
We are looking for a responsible, organized and hands-on Admin Manager to manage day-to-day administrative operations across our office premises and related facilities.
The role requires a dependable professional who can take ownership of office administration, facility management, vendor coordination, support staff supervision, travel coordination, vehicle management, inventory control, maintenance follow-ups and general operational support.
The ideal candidate should be proactive, disciplined, trustworthy and comfortable handling both routine administrative work and urgent operational requirements. This role is suitable for someone who enjoys execution, coordination, follow-up and solving day-to-day practical issues.
Key Responsibilities
Office Administration & Facility Management
- Manage daily administrative operations of the office premises.
- Ensure proper upkeep, cleanliness and functioning of cabins, workstations, meeting areas, pantry, washrooms and common areas.
- Coordinate office opening, closing, housekeeping, pantry, courier and general support activities.
- Ensure smooth availability of office resources, stationery, consumables, pantry items and washroom supplies.
- Monitor and coordinate repairs and maintenance related to electricity, plumbing, AC, furniture, internet, printers, CCTV and other facilities.
- Maintain office asset records, inventory records and admin trackers.
Vendor Management
- Coordinate with vendors such as electricians, plumbers, carpenters, AC service providers, housekeeping vendors, pest control vendors, internet service providers, printer vendors, stationery suppliers and vehicle service providers.
- Obtain quotations, negotiate rates and coordinate approvals where required.
- Ensure timely completion and quality checking of vendor work.
- Maintain vendor database, bills, service records and follow-up trackers.
Support Staff Supervision
- Supervise and coordinate support staff including office peons, drivers, housekeeping staff, security staff, cook, cleaning staff and other operational support personnel.
- Allocate daily tasks, monitor attendance, ensure discipline and check completion of assigned work.
- Ensure support staff perform their duties properly and routine issues are resolved without unnecessary escalation.
Travel Desk & Vehicle Management
- Coordinate business and personal travel requirements including flights, hotels, cabs, airport transfers and travel itineraries.
- Manage driver schedules and vehicle movement for office, management and related requirements.
- Ensure vehicles are properly maintained, cleaned, serviced and available as per schedule.
- Track fuel, FASTag, insurance, pollution certificates, servicing and vehicle-related documentation.
Inventory, Supplies & Expense Coordination
- Maintain adequate inventory of office supplies, stationery, pantry items, washroom supplies, cleaning materials and other consumables.
- Monitor stock levels and avoid last-minute shortages.
- Coordinate purchases as per approved budgets and requirements.
- Maintain petty cash records, vendor bills, expense details and supporting documents.
- Submit regular reports to management / accounts team.
Events, Meetings & Coordination Support
- Coordinate with HR and management for office events, team outings, off-sites, celebrations, meetings and internal gatherings.
- Arrange venues, food, transport, vendors, decoration and other event-related requirements.
- Provide support for guest visits, family engagements, social get-togethers and other coordination requirements as assigned.
Executive & Day-to-Day Coordination Support
- Act as a reliable go-to person for day-to-day administrative and operational requirements.
- Handle routine coordination tasks, follow-ups, errands, vendor calls, staff coordination and issue resolution.
- Provide timely updates to management on important pending and completed tasks.
- Escalate only matters that require management decision or approval.
- Ensure confidentiality, reliability and ownership in handling assigned responsibilities.
Desired Candidate Profile
The ideal candidate should have:
- 3-5 years of experience in administration, facility management, office operations, estate management, hospitality operations, travel coordination or a similar role.
- Prior experience in managing vendors and support staff.
- Strong follow-up and coordination skills.
- Ability to handle multiple tasks and practical day-to-day issues.
- Good negotiation and vendor management ability.
- Basic knowledge of Excel / Google Sheets and digital communication tools.
- Ability to maintain records, trackers, registers and reports.
- Firm but respectful communication style.
- High level of discipline, punctuality and ownership.
- Ability to work with confidentiality and trust.
- Willingness to take responsibility for both routine and urgent administrative tasks.

Reporting
The selected candidate will report to the management and will coordinate with internal teams, support staff, vendors and service providers for smooth administrative functioning.
What We Are Looking For
We are looking for a practical and dependable professional who can take ownership of administrative operations from start to finish. The person should not merely pass instructions but should ensure that the work is completed properly and on time. The role requires someone who can bring structure, discipline, follow-up and accountability to daily administration.
Pay: ₹21,500.00 - ₹25,000.00 per month
