Role Overview
We are looking for a creative, organized, and proactive Event Manager to take end-to-end ownership of the school’s event calendar, from concept development and budgeting to planning, stakeholder coordination, execution, and post-event evaluation. The role will be responsible for delivering well-organized, engaging, and memorable experiences for students, parents, staff, and the wider school community.
Key Responsibilities
Event Planning & Execution
Plan and execute school events including Annual Day, Sports Day, festivals, competitions, exhibitions, workshops, and parent engagement programs.
Develop event calendars, concepts, timelines, budgets, and execution plans.
Manage event-day logistics including venue setup, seating, décor, stage, audio-visual requirements, invitations, certificates, prizes, and hospitality.
Ensure events are delivered smoothly, on time, within approved budgets, and in line with school standards.
Vendor & Stakeholder Coordination
Identify, coordinate, and manage decorators, caterers, photographers, videographers, performers, AV teams, and other external vendors.
Manage vendor requirements, quotations, timelines, negotiations, and service delivery.
Coordinate effectively with school leadership, teachers, students, parents, and administrative teams.
Student & Parent Engagement
Develop creative and engaging event themes and activities aligned with school values.
Ensure events are inclusive, student-friendly, well-organized, and safe.
Coordinate parent communication and participation for relevant events.
Post-Event Management
Collect feedback and evaluate event outcomes.
Prepare post-event reports and maintain event documentation.
Maintain vendor databases, event records, and inventory.
Requirements
Must-Have
Bachelor’s degree in Event Management, Mass Communication, Hospitality, Business Administration, or a related field.
2+ years of experience in event planning and management.
Strong event coordination, organizational, and communication skills.
Experience managing vendors, logistics, budgets, and event execution.
Proficiency in MS Office / Google Workspace.
Strong attention to detail and problem-solving abilities.
Willingness to work flexible hours, including weekends and evenings when required.
Nice-to-Have
Prior experience in a school or educational institution.
Experience managing Annual Days, Sports Days, exhibitions, festivals, competitions, and parent engagement events.
Knowledge of event production, décor, AV, and stage management.
Experience with event planning or project management tools.
