KEY RESPONSIBILITIES
- Serve as the first point of contact for patients and attendants — in-person at the front desk and via phone / WhatsApp
- Handle inbound calls and walk-in queries for appointment bookings, OPD scheduling, doctor availability, and service information
- Make outbound calls for appointment reminders, post-visit follow-ups, health package promotions, and patient satisfaction surveys
- Register patient details accurately in the Hospital Management System (HMS / HMIS / CRM)
- Coordinate with OPD, departments, and doctors' teams to manage scheduling, queue, and patient flow
- Address patient grievances, service complaints, and concerns with empathy and professionalism; escalate unresolved issues to the Patient Relations Manager
- Collect and record patient feedback through forms, calls, and digital surveys; compile CSAT reports
- Guide patients through hospital procedures — admission, discharge, billing queries, insurance / TPA process
- Coordinate with billing, diagnostic, and clinical departments for seamless patient experience
- Manage patient waiting areas and ensure timely communication on delays or changes
- Maintain call logs, daily MIS reports, and patient interaction records
- Adhere strictly to patient confidentiality norms and data privacy regulations
QUALIFICATIONS & SKILLS
- Any Graduate; Diploma in Hospital Administration, Customer Service, or Hospitality is a plus
- 0 - 1 year of experience in a hospital, clinic, or healthcare customer service role
- Warm, empathetic communication style with the ability to handle distressed or anxious patients
- Proficiency in HMS / HMIS software, CRM tools, and appointment management systems
- Excellent verbal communication in local language, Hindi, and English
- Good typing speed and data entry accuracy
- Ability to handle high patient volumes calmly under pressure
- Willingness to work in rotational shifts including weekends and holidays
