About the role:
Design Kacheri is looking for an Operations Coordinator. This is a vital role in ensuring the seamless operation and long-term sustainability of the practice. Sitting at the intersection of finance, people, projects and compliance, this position is responsible for overseeing the systems, processes and day-to-day functions that enable the studio to operate efficiently, support its people and culture, and deliver exceptional work. This is a highly trusted and influential role, working closely with the directors to provide operational clarity, financial oversight, and strategic support across the business.
Responsibilities:
1. Resource Allocation: Efficiently allocate and manage the studio's resources, including creative teams, equipment, and workspace, to meet project demands.
2. Workflow Management: Streamline studio workflows, from project initiation to delivery, ensuring projects are on schedule and within budget.
3. Project Coordination: Collaborate closely with project managers and creative teams to facilitate smooth project execution, tracking progress, and resolving issues.
4. Budgeting and Financial Management: Develop and manage budgets for studio operations, including project budgets, expenses, and revenue tracking.
5. Supplier and Vendor Relations: Oversee relationships with suppliers and vendors, negotiate contracts and ensure timely deliveries of materials and services.
6. Quality Assurance: Implement quality control processes to maintain the studio's high creative standards and client satisfaction.
7. Team Management: Recruit, train, and supervise support staff, including administrative personnel, to ensure a productive and motivated team.
8. Health and Safety: Ensure compliance with health and safety regulations within the studio environment.
9. Facilities Management: Oversee the maintenance of studio facilities and equipment, coordinating repairs and upgrades as necessary.
10. Technology and Software: Manage technology infrastructure, software licensing, and IT support to enable creative work.
11. Environmental Sustainability: Develop and implement sustainable practices within the studio, such as recycling and energy efficiency initiatives.
Qualifications:
1. A bachelor's degree in business administration, operations management, or a related field is often required. Relevant certifications in operations management can be advantageous.
2. Excellent Communication and Customer Service skills to engage effectively with clients and stakeholders.
3. Proven abilities in Team Leadership and fostering collaboration among cross-functional teams.
4. Strong background in Sales with a focus on client relationship building and business development.
5. Proficiency in Project Management, including organizational and multi-tasking capabilities.
6. Experience within architecture, interior design, construction, project management or another detail driven creative industry is considered an asset.
7. Ability to work on-site with adaptability and enthusiasm for solving complex challenges.
Skills:
1. Experience in operations, administration, or coordination roles (years of experience are flexible; candidates with varying levels of relevant experience are encouraged to apply).
2. Knowledge in project management tools, financial software, communication & collaboration tools and facilities management software will be an added advantage though not mandatory.
3. Strong organizational and follow-up capability.
4. Comfortable handling multiple teams, priorities, and deadlines.
5. Strong written and verbal communication skills.
6. Calm, firm, and professional approach to people and processes.
