Job Title: Admin Executive
Job Summary
We are seeking a highly organized, proactive, and detail-oriented Admin Executive to manage day-to-day administrative operations and ensure the smooth functioning of the office. The ideal candidate will be responsible for office administration, vendor coordination, facility management, record maintenance, travel arrangements, and providing administrative support to various departments.
Key Responsibilities
- Manage day-to-day office administration activities to ensure smooth business operations.
- Coordinate office maintenance, housekeeping, pantry, security, and facility-related requirements.
- Maintain office records, files, registers, and confidential documents in an organized manner.
- Handle procurement of office supplies, stationery, and consumables while maintaining inventory records.
- Coordinate with vendors, service providers, and contractors for office-related services and AMC renewals.
- Process purchase requests, vendor quotations, invoices, and coordinate payments with the Accounts department.
- Arrange employee travel, accommodation, transportation, and logistics whenever required.
- Support employee onboarding by coordinating workstation readiness, ID cards, access cards, and other administrative formalities.
- Maintain asset registers, office equipment, and inventory records.
- Prepare administrative MIS reports, expense statements, and monthly reports.
- Assist in organizing meetings, conferences, employee engagement activities, and company events.
- Coordinate courier services, incoming and outgoing mail, and document dispatch.
- Ensure compliance with company administrative policies and standard operating procedures.
- Liaise with internal departments and external agencies for administrative support.
- Perform any other administrative duties assigned by the management.
Eligibility Criteria
- Bachelor's Degree in Business Administration, Commerce, Management, or a related discipline.
- 2–5 years of experience in Office Administration, Administration Executive, Facility Coordination, or a similar role.
- Excellent verbal and written communication skills.
- Strong organizational, multitasking, and coordination abilities.
- Good knowledge of Microsoft Office (Excel, Word, Outlook, and PowerPoint).
- Ability to work independently while managing multiple priorities.
- High level of professionalism, integrity, and confidentiality.
