About the Role
We are looking for a highly organized, proactive, and dependable Executive Assistant to provide comprehensive support to the Managing Director. This is not a conventional administrative role we are looking for someone who can anticipate requirements, take ownership, manage priorities independently, and ensure seamless execution of day-to-day activities.
The ideal candidate should be resourceful, detail-oriented, and capable of handling both professional and occasional personal coordination tasks with complete confidentiality and discretion.
Key Responsibilities
- Manage the Managing Director's calendar, appointments, meetings, and travel schedules.
- Coordinate with internal teams, clients, vendors, and external stakeholders.
- Ensure timely follow-ups on tasks, commitments, and action items until closure.
- Prepare reports, presentations, correspondence, and meeting notes.
- Maintain records, documentation, and confidential information with accuracy.
- Handle administrative and operational coordination for the Managing Director.
- Assist in planning meetings, events, and business engagements.
- Support occasional personal coordination tasks for the Managing Director when required.
- Prioritize multiple assignments while maintaining high levels of professionalism and confidentiality.
Experience Required
- 3–5 years of experience as an Executive Assistant, Personal Assistant, Secretary, Office Coordinator, or similar administrative role supporting senior leadership.
- Experience working directly with founders, directors, or CXOs will be an advantage.
- Candidates with stable employment history and strong administrative coordination experience are preferred.
Educational Qualification
- Bachelor's degree in any discipline.
- Formal education or certification in Secretarial Practice or Executive Assistance will be an added advantage.

1. Must-Have Skills
- Exceptional follow-up and coordination skills (This is the most critical requirement.)
- Strong organizational and time management abilities.
- Ability to manage multiple priorities with minimal supervision.
- Excellent verbal and written communication skills in English.
- High level of integrity, discretion, and confidentiality.
2. Technical Skills
- Proficiency in Microsoft Excel, Word, and PowerPoint.
- Strong documentation and reporting skills.
- Knowledge of shorthand is preferred but not mandatory.

- Comfortable working in a fast-paced environment with changing priorities.
- Willing to handle both business-related and occasional personal coordination responsibilities for the Managing Director.
- Resides within a reasonable commuting distance from the office to ensure reliability and availability when required.
