Key Responsibilities
- Prepare and compile technical, commercial, and administrative tender documents.
- Review tender/RFP documents and understand documentation and submission requirements.
- Prepare and maintain tender checklists to ensure all required documents are included.
- Prepare compliance statements, declarations, undertakings, annexures, forms, BOQs, and other tender documents.
- Collect required documents and information from internal departments such as Engineering, Finance, HR, Operations, and Management.
- Ensure proper formatting, pagination, indexing, scanning, and organization of tender documents.
- Verify documents for accuracy, completeness, signatures, stamps, dates, and validity before submission.
- Coordinate with concerned teams for pending documents and ensure timely completion.
- Upload and submit tender documents on GeM, CPPP, and other e-tender portals.
- Monitor tender deadlines, amendments, corrigenda, and clarification requirements.
- Maintain a systematic digital and physical filing system for all tender documents.
- Maintain and update a database of company registrations, certificates, credentials, previous work orders, experience documents, and other frequently required tender documents.
- Coordinate for required signatures, approvals, declarations, EMD, PBG, and other supporting documentation.
- Assist in preparing responses to tender queries and clarification requirements.
- Maintain records of submitted tenders and their status.
- Ensure confidentiality and proper handling of company and tender-related information.
Required Skills
- Strong documentation and drafting skills.
- Excellent working knowledge of MS Word and MS Excel.
- Good knowledge of document formatting, PDF handling, scanning, merging, and file management.
- Typing speed of 35–40 WPM with good accuracy.
- Strong attention to detail and accuracy.
- Good written and verbal communication skills.
- Ability to read and understand tender/RFP requirements.
- Good coordination and follow-up skills.
- Ability to work under strict deadlines and manage multiple documents simultaneously.
- Knowledge of GeM, CPPP, and other e-procurement portals will be an advantage.
Educational Qualification
- Graduate in any discipline.
- Candidates with relevant experience in Tender Documentation, Bid Management, Proposal Coordination, or Government Tendering will be preferred.
Preferred Experience
- 1–4 years of experience in tender documentation or a similar role.
- Experience in Defense, Aerospace, Electronics, Engineering, Manufacturing, or Government/PSU tenders will be an added advantage.
Pay: ₹15,000.00 - ₹30,000.00 per month
