Social Santa is a leading Marketing firm under Navisha Marketing and Media LLP . We are looking for candidates for our new office based in Belagavi, Karnataka. We are specializing in both online and offline advertising. We provide a full range of marketing services, including social media marketing, print and radio ads, and web and app development etc. Our clientele spans across the fashion, Hospitality, beauty, and FMCG sectors etc, and we pride ourselves on our creative and innovative approach to growing businesses through our quality work.
Key Roles & Responsibilities
1. Recruitment & Talent Acquisition
- Manage the complete recruitment lifecycle for all departments.
- Understand hiring requirements with department heads and management.
- Prepare and update job descriptions and job specifications.
- Source candidates through LinkedIn, Indeed, Internshala, referrals, social media, and other recruitment channels.
- Screen applications and shortlist suitable candidates.
- Conduct HR interviews and coordinate technical interviews.
- Schedule interviews and maintain recruitment trackers.
- Conduct reference and background verification where applicable.
- Prepare offer letters and coordinate salary negotiations within approved budgets.
- Maintain candidate databases and recruitment reports.
2. Employee Onboarding
- Coordinate end-to-end onboarding of new employees.
- Prepare and issue Offer Letters, Appointment Letters, Employment Contracts, Internship Agreements, NDAs, and other employment-related documents.
- Collect and verify employee KYC and statutory documents.
- Conduct employee induction and orientation sessions.
- Ensure all onboarding documentation is completed before the joining date.
- Create and maintain employee personnel files.
3. HR Operations & Administration
- Maintain complete employee records and confidential HR documentation.
- Manage attendance, leave records, holiday calendars, and employee databases.
- Monitor employee probation periods and confirmation processes.
- Maintain HR trackers and documentation accurately.
- Ensure HR policies are implemented consistently across the organization.
- Maintain organizational charts and employee records.
4. Payroll Coordination
- Prepare monthly attendance and payroll inputs.
- Coordinate salary processing with the Accounts team or Chartered Accountant.
- Verify payroll data before salary processing.
- Maintain records of salary revisions, incentives, reimbursements, and deductions.
- Assist with Full & Final Settlements and employee exit payments.
5. Statutory Compliance
- Coordinate HR statutory compliance with management and the Chartered Accountant.
- Maintain compliance records related to applicable labour laws.
- Support compliance related to ESIC, Professional Tax, Shops & Establishments, Labour Welfare Fund, and other applicable statutory requirements.
- Ensure employee records are maintained as per legal requirements.
6. Performance Management
- Coordinate probation reviews and employee confirmations.
- Facilitate annual and periodic performance appraisal processes.
- Maintain KPI and performance evaluation records.
- Support managers in setting performance goals and development plans.
- Coordinate Performance Improvement Plans (PIPs) where required.
7. Employee Relations
- Act as the primary point of contact for employee queries and HR support.
- Handle employee grievances professionally and confidentially.
- Promote a positive and healthy workplace culture.
- Support conflict resolution and disciplinary procedures.
- Ensure fair implementation of company policies.
8. Employee Engagement & Retention
- Organize employee engagement activities and celebrations.
- Plan recognition and reward initiatives.
- Conduct employee satisfaction and feedback surveys.
- Support employee learning and development initiatives.
- Recommend strategies to improve employee retention and morale.
9. HR Policies & Documentation
- Develop, review, and update HR policies, SOPs, and employee handbooks.
- Draft HR templates, forms, checklists, and process documents.
- Ensure HR documentation remains updated and legally compliant.
- Recommend improvements to HR processes and systems.
10. Exit Management
- Manage employee resignation and separation processes.
- Conduct exit interviews.
- Coordinate handovers with reporting managers.
- Prepare relieving letters, experience letters, and Full & Final Settlement documentation.
- Ensure recovery of company assets and completion of exit formalities.
11. HR Reporting
- Prepare weekly and monthly HR reports for management.
- Maintain recruitment, attendance, leave, attrition, and employee performance dashboards.
- Present HR insights and recommendations to management.
- Track HR metrics to support workforce planning and business growth.
Qualifications
- Bachelor's or Master's degree in Human Resources, Business Administration, Management, or a related field.
- Minimum 2–5 years of experience in Human Resources.
- Experience in a startup, or marketing agency will be an added advantage.
Required Skills
- Strong knowledge of end-to-end HR operations.
- Good understanding of Indian labour laws and HR compliance.
- Excellent recruitment and interviewing skills.
- Experience in payroll coordination and employee documentation.
- Strong communication, interpersonal, and negotiation skills.
- Excellent organizational and time management abilities.
- High level of integrity and confidentiality.
- Proficiency in Microsoft Office and Google Workspace.
- Ability to work independently and manage multiple priorities.
